Accounting Specialist

A growing construction-related organization located in Queensbury, NY is seeking an (fully onsite) Accounts Receivable & Payroll Coordinator to support its accounting team. This role will focus primarily on accounts receivable, billing, and payroll support, while assisting with project-related documentation and compliance requirements.

Responsibilities

+ Manage accounts receivable processes, including invoicing, payment tracking, collections, and reconciliations

+ Assist with payroll processing and related administrative tasks

+ Support AIA billing and project invoicing activities

+ Maintain contract documentation and project records

+ Assist with certified payroll reporting and compliance requirements

+ Track and manage PRC numbers and related project information as needed

+ Communicate with internal teams, vendors, clients, and project managers regarding billing and payment matters

+ Provide general accounting and administrative support to the finance team

Qualifications

+ 2+ years of AR, billing, payroll, or accounting experience

+ Payroll experience preferred

+ Knowledge of AIA billing preferred

+ Certified payroll and PRC experience a plus

+ Construction industry experience strongly preferred

+

Experience with construction accounting software preferred

+

Experience with Sage Intacct is a plus

+ Proficiency in Microsoft Excel

+ Strong attention to detail and organizational skills

+ Ability to manage multiple priorities in a fast-paced environment

Schedule

+ Typical hours are 7:00 AM to 3:30 PM or 7:30 AM to 4:00 PM

+ Some flexibility is available, so please don't let the hours deter you if you're otherwise a great fit

Requirements - At least 2 years of experience in accounts receivable, billing support, or general accounting operations.

- Exposure to payroll processing is beneficial for success in this role.

- Prior experience with project-based or organizational billing practices is preferred.

- Familiarity with certified payroll reporting and project tracking documentation is highly valued.

- Background in construction accounting or a related industry is strongly preferred.

- Strong attention to detail with the ability to keep records organized and accurate.

- Proficiency in Microsoft Excel and accounting software used for financial tracking and reporting.

- Ability to handle multiple deadlines and shifting priorities in a fast-paced work environment.
