This is a full-time, 12-month, exempt position that reports to the Dean of Student Affairs and Enrollment Management and is located at the JWCC campus in Quincy, Illinois. Position begins immediately.

JOB DESCRIPTION

John Wood Community College (JWCC) is seeking a Registrar to oversee registration activities, maintain the accuracy and integrity of student records, and support enrollment reporting for college administration, government, and external agencies. This position coordinates term set-up, registration processes, graduation audits, and compliance with federal privacy regulations.

The Registrar serves as a key liaison between instructional administration, faculty, staff, and students regarding registration, records, attendance, and advising software, including Degree Works/CAPP. This position also leads the implementation and ongoing administration of Coursedog, ensuring system integration, workflow development, training, and data integrity across curriculum and scheduling functions.

KEY RESPONSIBILITIES

  • Serve as College's FERPA Compliance Officer; provide oversight for the monitoring and implementation of institutional compliance with FERPA regulations; ensure best practices for the protection of student privacy as it relates to student records.
  • Responsible for managing all aspects of the College Registrar's office including academic records, grading practices and procedures, registration functions, incoming and outgoing transcript processes, National Student Clearinghouse submissions and compliance, degree audit system, degree verification and graduation clearances, and record retention compliance.
  • Serves as a contributor to the College's catalog, student handbook, and academic calendar.
  • Serves as the Banner student module administrator.
  • Maintains working knowledge of Department of Veterans Affairs certification processes as the Secondary School Certifying Official (SCO).
  • Actively monitor Illinois State laws that impact community college registration and enrollment processes.
  • In collaboration and coordination with academic leadership, develop, evaluate, and administer transfer, reverse transfer, and prior learning credit equivalencies with established policies, procedures, and IAI guidelines.
  • Maintain and support the academic curriculum by appropriately communicating with college faculty, staff, and administrators regarding policies related to the analysis of transcript equivalencies.
  • Prepare identified reports in support of college compliance, accreditation, and program review, which include regular assessment initiatives and the development of quarterly and annual reporting.
  • Regularly provide FERPA information and training to identified college staff, stakeholders, and partners.
  • Work collaboratively with the athletic director to support an effective and efficient system for certifying NJCAA student-athlete eligibility.
  • Support the college's accessibility efforts to support students with disabilities, supporting the campus in being more inclusive through advocacy, support, and academic services.
  • Lead the full implementation, configuration, and ongoing administration of Coursedog as the college's curriculum management and academic scheduling platform, serving as the primary system administrator for all modules.
  • Maintain system accuracy and data integrity across Coursedog by managing curriculum approval workflows, course and program catalog maintenance, schedule building oversight, Banner integration, staff training, and regular audits to minimize errors and data loss.
  • Collaborate with Academic Affairs and IT to ensure Coursedog functions support institutional planning, accreditation, and reporting needs.
  • Serve on college-wide committees that relate to professional responsibilities, as well as those assigned and supported by administrative leadership.
  • Other duties as assigned by the Dean of Student Affairs and Enrollment Management that promote the John Wood Community College mission.

QUALIFICATIONS



Education:

  • Bachelor's Degree Required.
  • Master's Degree Recommended.



Experience:

  • Over 5 years of relevant experience preferred in higher education records, registration, or enrollment management.
