Bilingual Administrative Assistant (Spanish)

We are seeking a Bilingual (Spanish) Administrative Assistant to support our Quincy regional office. This role includes primary front desk responsibilities along with essential administrative support. The assistant will serve as the main front desk coverage when the Office Manager is present and will act as primary or backup coverage when needed.

Type: 7-Month Contract (On-site)

Key Responsibilities
  • Provide primary front desk and receptionist support, greeting callers and visitors professionally.
  • Respond to routine inquiries and offer appropriate information, including referrals to relevant internal and external departments.
  • Serve as primary front desk coverage when the Office Manager is on-site.
  • Provide primary or backup support for the Office Manager as required.
  • Manage all incoming and outgoing mail, ensuring timely distribution to appropriate staff.
  • Maintain adequate inventory of office supplies.
  • Coordinate meeting and training room schedules, including managing conference room calendars.
  • Set up and break down meeting rooms as needed.
  • Maintain familiarity with office equipment and contact points for technical or operational support.
Required Qualifications
  • High School Diploma (minimum).
  • 2–3 years of administrative experience.
  • Fluency in both Spanish and English, written and verbal (mandatory).
  • Excellent attention to detail and organizational skills.
  • Ability to follow written and verbal instructions.
  • Ability to handle confidential information with discretion and exercise sound judgment.
  • Proficiency in Microsoft Office applications.
  • Comfortable learning and working with IT systems.
  • Knowledge of state government structure is preferred.
  • Ability to maintain accurate and organized records.
