OverviewThe Transformation Program Coordinator provides high-impact operational, logistical, analytical, and cross-functional support to Project Catalyst—one of ADUSA's largest enterprise transformation efforts. This role supports program leadership by coordinating complex schedules, preparing executive-ready documentation, managing sensitive workflows, supporting program communications, and serving as a central point of operational continuity across business, technology, and systems-integration partners. The coordinator acts with a high degree of autonomy, judgment, and professionalism in a fast-moving environment.
Our flexible/ hybrid work schedule includes 3 in-person days at one of our core locations and 2 remote days. Our core office locations include Salisbury, NC, Quincy, Scarborough, ME.
Applicants must be currently authorized to work in the United States on a full-time basis until the end of their appointment.
Responsibilities Leadership & Cross Functional Support- Provide comprehensive support to program business and tech VPs, including complex calendar management, prioritizing competing requests, and coordinating cross-functional engagements.
- Serve as a liaison across business towers, tech towers, cross-functional partners, and external vendors/SIs to enable timely information flow and issue alignment.
- Prepare leaders for internal/external engagements through briefing materials, talking points, pre-reads, and consolidated reference packets.
- Manage confidential and sensitive communications with discretion, sound judgment, and professionalism.
- Plan and execute logistics for meetings, workshops, and events, including venue/virtual setup, attendee communication, materials distribution, and follow-up documentation.
- Maintain program documentation repositories, ensuring all materials, templates, and records are organized, current, and easily accessible.
- Support the creation of program communications such as newsletters, weekly updates, and announcements.
- Manage department operations including supply ordering, expense processing, travel coordination, and vendor scheduling.
- Develop high-quality PowerPoint presentations, Excel trackers, and visualizations for program storytelling and leadership reporting.
- Support budget tracking activities by processing invoices, monitoring spend, documenting variances, and preparing financial summaries.
- Collect, organize, and maintain data required for program communications, decision support, and leadership briefings. Program Issue Support & Continuous Improvement
- Identify operational gaps and process inefficiencies; recommend and implement improvements to streamline workflows and enhance program effectiveness.
- Respond proactively to shifting priorities, independently resolving issues where possible and escalating appropriately when needed.

- Associate or bachelor's degree
- 3+ years of related experience
- Demonstrated ability to work independently with minimal oversight, exercising sound judgment and navigating ambiguity in a fast-paced environment
- Strong organization, prioritization, and multi-tasking capability across complex, concurrent workflows.
- Proficiency with Microsoft Office 365, including Teams, SharePoint, PowerPoint, Excel, Word, and One Drive
- Excellent written and verbal communication skills, with experience preparing executive-ready materials
- Ability to build relationships and communicate professionally across diverse teams
- Experience managing sensitive and confidential information
Preferred:
- Experience supporting enterprise programs or large transformation efforts, preferably supporting senior leaders or large cross-functional teams
- Experience in retail, supply chain, merchandising, finance, or technology organizations
ME/NC/PA/SC Salary Range: $23.58 - $35.37
IL/MA/MD/NY Salary Range: $27.08 - $40.62
