Position: Dean's Assistant for the Academic Division of Natural & Health Sciences and Allied Health - Quincy College
Job Description:

POSITION SUMMARY:

Under the direction of the Dean of the Academic Division of Natural & Health Sciences and Allied Health, the Dean's Assistant serves as the primary administrative support to the Dean and the Division. The Dean's Assistant provides administrative support throughout the processes related to the hiring of adjunct instructors, textbook selection, and various academic projects. Works collaboratively with the Dean in the daily operational management of academic programs.

EDUCATIONAL

EXPERIENCE:

Associate's Degree required;
Bachelor's degree preferred.

EXPERIENCE REQUIREMENTS:
One (1) to three (3) years relevant experience required. Experience in an education setting preferred. Proficient computer skills with Microsoft Office in particular, Word, Excel, and PowerPoint preferred. Knowledge or familiarity with Jenzabar or similar software helpful.

SUPERVISORY RESPONSIBILITIES:

None.

TRAVEL:
Occasional travel between the Quincy and Plymouth campuses as well as Boston site may be required.

Requirements:

ESSENTIAL FUNCTIONS:

* Respond to faculty, student, and public inquiries accurately, promptly, and courteously;

* Assist with the administrative aspects of the hiring of adjunct faculty through scheduling of appointments, follow-up correspondences, maintaining files, preparation and processing of contracts and payroll authorizations, and other duties as appropriate;

* Maintain an up-to-date faculty database, keeping current files for course materials in Natural & Health Sciences and Allied Health, collecting and maintaining files for course syllabi, assessments, and related material;

* Oversee the textbook adoption process, serve as the liaison with publishers and the college bookstore, order course texts, and distribute texts to faculty;

* Assist the Dean with adjunct faculty handbook updates and oversee handbook distribution at the beginning of each semester;

* Provide administrative coverage for Saturday classes as needed in rotation with other staff;

* Collect and maintain current course curriculum materials and provide the Dean and faculty with resources that support curriculum development;

* Assist the Dean in organizing and preparing the annual budget;

* Assist the Dean with the ordering and monitoring of instructional supplies;

* Assist the Dean with the administration of special sessions (five week sections, double-ups, tandems, Saturday sessions);

* Oversee the class list distribution and collection process and work closely with the Office of Enrollment/Registrar to reconcile discrepancies;

* Maintain, thorough familiarity with College programs and course offerings, schedules, policies, procedures, regulations, and practices;

* Participate in mandatory training/coursework. Including but not limited to:

* Title IX and Sexual Misconduct

* Sexual Harassment and Non-Discrimination

* Security Policy and Notification of Security Reporting

* FERPA

* Municipal Ethics Law

* Assume other duties as assigned.
