Position: PROPERTY MANAGER

Overview

Reporting to the Assistant Director (AD), the Property Manager (PM) oversees the daily operations of assigned properties with a focus on developing and maintaining strong relationships with all stakeholders including colleagues, tenants, vendors/contractors, and ownership. The PM is responsible for the repair and maintenance of the buildings and grounds to keep them in good physical condition, and for the financial responsibility of the asset in collaboration with the Asset Manager (AM) and the Accounting team.

Responsibilities
  • Tenant Management:
    Communicate property-related matters clearly, consistently, and timely; ensure requests, including work orders, are addressed promptly and in a manner that eliminates recurring problems; organize and participate in tenant meetings and appreciation events; review abstracted leases and update tenant contact information, certificates of insurance, lease files; coordinate tenant move‑ins and move‑outs; handle outstanding accounts receivable with tenants; oversee maintenance of tenant‑owned equipment;

    manage concierge system in Yardi for tenants.
  • Reporting:
    Prepare for and participate in weekly asset performance review meetings with Management and Partners; draft periodic financial and operational reports; prepare for and participate in quarterly asset performance review meetings with Management and Partners; review financial and operational reports.
  • Inspections:
    Survey tenant space, vacancies, common areas, base building areas, and grounds to ensure a high level of maintenance; write and submit property inspection reports and work orders; work in Elevate in Yardi to ensure inspections are completed and signed off by building engineer.
  • Building Engineering:
    Help engineer staff identify and implement energy conservation measures and execute preventative maintenance programs for, and repairs of, all HVAC, electrical, plumbing, and life safety equipment and systems; collaborate with engineer staff to plan capital projects for upcoming years.
  • Procurement:
    Draft and distribute RFP documents for the competitive bidding of goods and services; coordinate interviews/meetings, field questions, save and file all related documents, analyze proposals.
  • Vendor/Contractor Management:
    Conduct walk‑through inspections and meetings with vendors; ensure vendor compliance with contract terms, building rules, deficiencies; enforce safety protocols and risk management/insurance requirements; ensure all vendors have up‑to‑date insurance on file and meet Jumbo Capital requirements; track the expiration date of all contracts within the assigned portfolio and renew/bid contracts as needed.
  • Project Management:
    In collaboration with Building Engineering, manage all aspects of large R&M and capital expense projects; create PARs for individual projects and oversee their completion; enter and review job cost projects and calculate/submitted CM fees.
  • Accounting:
    Code invoices promptly, review general ledger, make accruals, explain variances to budget, collect accounts receivable, calculate tenant CAM expense estimates, perform mid‑year true, year‑end reconciliations, quarterly rent roll review.
  • Budgeting:
    Develop and draft annual budgets for operating expense and capital projects; prepare for and participate in budget/business plan review meetings.
  • SOPs and O&Ms:
    Draft and update standard operating procedures (SOPs) for the Property Management Department and implement them as appropriate; draft operations and maintenance manual (O&M) for each property at acquisition.
  • Human Resources:
    Foster a positive, collaborative work environment to build a cohesive team focused on achieving ownership objectives for each property.
  • Assist Asset Management and Acquisitions/Dispositions teams as necessary.
  • Perform all other duties and projects as assigned by the AD.
Qualifications

Proficiency in Microsoft Office (Outlook, Word, Excel, Power Point).

  • Driver's license and personal vehicle required for travel around the portfolio.
  • Bachelor's degree preferred.
  • Experience in commercial real estate a plus.
  • Strong work ethic and collaboration skills.
