We are seeking a detail-oriented and experienced Payroll Specialist with strong expertise in prevailing wage compliance, union payroll administration, and payroll tax reporting. The ideal candidate will have at least 3 years of hands-on payroll experience
, preferably within construction or other unionized environments. This role requires accuracy, compliance knowledge, and the ability to manage complex payroll processes in a deadline-driven setting.
- Process weekly and bi-weekly payroll for union and non-union employees
- Ensure accurate calculation of wages, overtime, deductions, garnishments, and fringe benefits
- Maintain payroll records in compliance with company policies and regulations
- Interpret and apply federal, state, and local prevailing wage requirements
- Review and validate certified payroll reports
- Ensure proper classification of workers and accurate fringe benefit allocations
- Prepare and submit certified payroll reports in compliance with government contracts
- Calculate and remit union dues, benefits, and other required contributions
- Prepare union reports and ensure timely payments to union trust funds
- Maintain accurate union rate tables and benefit schedules
- Prepare and reconcile quarterly and annual payroll tax filings (941, 940, state filings, W-2s, etc.)
- Ensure compliance with federal, state, and local payroll tax laws
- Respond to tax notices and resolve discrepancies
- Assist with year-end payroll processing and audits
- Reconcile payroll-related general ledger accounts
- Support audits (internal, union, government, and external)
- Maintain confidentiality of payroll information
- Stay current with changes in wage laws, union agreements, and tax regulations
Required:
- Minimum 3 years of payroll experience
, including prevailing wage and union payroll - Strong knowledge of certified payroll reporting requirements
- Experience with payroll tax reporting and compliance
- Proficiency with payroll software systems and Microsoft Excel
- Strong attention to detail and organizational skills
- Ability to manage multiple deadlines and prioritize tasks
- Experience in construction or government contracting environments
- Familiarity with multi-state payroll processing
- High level of accuracy and analytical ability
Strong problem-solving and communication skills - Ability to work independently and collaboratively
