Position Description
The Accounts Payable Specialist supports the Accounts Payable Supervisor in ensuring accurate, timely, and compliant processing of all accounts payable activities. This role is responsible for invoice processing, vendor payments, account reconciliation, and maintaining strong internal controls while continuously improving efficiency within the AP function.
Key Responsibilities
- Responsible for processing checks, ACH's, and wire transfers to vendors.
- Manage the company's travel and entertainment expense reporting process. This includes the review and audit of expense reports and providing management with key travel and entertainment spend data.
- Perform analysis on the travel and entertainment spend data. This will include recommending potential cost reductions based on spend behaviors.
- Perform the travel reconciliations and analyze all travel account balances. Any unusual activity in these accounts should be investigated and explanations provided to the AP Supervisor.
- Reconcile any differences and complete the appropriate balancing of the daily and monthly reports.
- Perform maintenance associated with accurate vendor payments and run all AP and Corporate Sundry payments.
- Coordinate with Treasury the balancing and clearing of the Foreign and Intercompany ACH and wire payments.
- Coordinate and monitor the interface for the Auto-invoice process for the directed transfer of the invoice data through to the general ledger and payment with the IT group.
- Control and balance with accounts receivable for the monthly commission payment and ensure accuracy and reliability.
- The position interacts with both internal and external customers in responding to inquiries, resolution of issues, and assisting in requests.
- Provide training and guidance to all department users of the financial systems.
- Lead special projects and process improvements within the AP department.
- Develop and maintain policies and procedures as applicable.
- Act as back up for the AP Supervisor in their absence.
Required Education & Qualifications
Required Qualifications
- 3+ years of accounts payable experience
- Experience in electronic AP processing environments
- Knowledge of accounting principles and reconciliation processes
- Experience with month-end close
Technical Skills
- SAP proficiency
- Strong Microsoft Excel and Word skills

Education
Associate degree in Accounting, Finance, or Business (preferred) or equivalent experience
