Job Summary

The Administrative Coordinator reports directly to MUSC Health clinic leadership. The Coordinator provides high level customer service while verifying and preparing documentation for the Dental Medicine EHR. The role facilitates the timely completion of the front desk registration process, telephone inquiries, scheduling, patient check‑out process, and works closely with dental providers to provide quality service and care to patients.

The Coordinator plays a critical role in keeping the clinic schedule full and addressing patient concerns and questions about patient finances and balances, while also handling general administrative office needs.

Key Responsibilities
  • Consistently follows MUSC Standards of Behavior and completes all assigned annual training. Provides excellent customer service to all internal and external customers and maintains open communication lines.
  • Manages patient registration: updates demographics at each visit, obtains signatures on required documents and consents, scans insurance cards, submits insurance verification forms to the Billing Office, verifies insurance benefits prior to appointments.
  • Schedules patient appointments using the planned appointment lists in the Electronic Health Record (EHR) system; confirms unconfirmed appointments by telephone; completes contact notes in EHR; may use Epic to schedule and manage appointments.
  • Collects, posts, and reconciles payments for patients in the Dental Medicine EHR; collects all payments at point of service, posts payments, provides receipts, discusses upcoming treatment appointments and financial responsibilities, documents transaction notes, scans necessary documents, prepares daily deposits of cash/check/credit card transactions following CDM guidelines and University policies.
  • Answers all incoming phone calls for the assigned clinic area in partnership with the Patient Access Center; manages incoming referrals using the EHR; maintains reception and waiting area in a neat and orderly fashion.
  • Assists dental provider and clinic staff in duties related to scheduling, patient care and quality assurance, and with the student accountability program for attendance in the pre‑doctoral clinics.
  • Performs other duties as assigned by the Manager/Supervisor including general administrative and office needs.
Qualifications
  • Minimum: high school diploma and four years relevant experience in business management, public administration or administrative services; or bachelor’s degree and two years experience in business management, public administration or administrative services.
