Overview
We are seeking a detail-oriented and customer-focused Order Processing Specialist to support inbound and outbound communications, assist patients and healthcare partners, and ensure accurate processing of orders within multiple EMR systems. This role requires strong time‑management, the ability to multitask in a fast-paced environment, and excellent communication skills.
Key Responsibilities Call Handling & Patient Support
+ Manage approximately 30 inbound calls and 40-50 outbound calls daily related to order processing and customer inquiries.
+ Greet and support walk-in patients at the office and assist with basic DME (Durable Medical Equipment) order entry.
+ Communicate with patients regarding missing or insufficient documentation, provide updates, and offer alternative options to support the referral process.
+ Answer all phone calls and emails promptly, adhering to departmental service goals.
+ Document all call and communication details accurately according to standard operating procedures.
Order Entry & Documentation
+ Enter and review all required information in the EMR system, including authorizations, expiration dates, and referral details.
+ Navigate multiple online EMR platforms to obtain necessary clinical documentation.
+ Accurately process, verify, and submit orders and supporting documents.
+ Ensure insurance carriers are correctly listed in the company system; request setup for any new carriers as needed.
Operations & Collaboration
+ Collaborate with Customer Service and Management regarding trends or issues identified with insurance payers.
+ Meet or exceed quality assurance standards and performance metrics.
+ Use company-provided tools and resources such as Authorization Guidelines, Insurance Guidelines, Fee Schedules, NPI, PECOS, and instructional documentation.
+ Assist with resolving customer concerns and provide clear, solutions-focused support.

+ Strong customer service (retail, call center, office customer service, etc.).
+ Ability to handle high call volumes and manage multiple tasks simultaneously.
+ Strong time management, organization, and problem-solving skills.
+ Basic computer proficiency and ability to learn new systems quickly.
+ Clear and professional verbal and written communication skills.
Preferred Qualifications
+ Bilingual (Spanish/English or other language).
+ Prior office-based customer service experience.
+
Experience with order entry, sales support, data entry, account management, or insurance verification.

This is a Contract to Hire position based out of Racine, WI.
Pay and Benefits
The pay range for this position is $19.00 - $21.00/hr.
