As an Office Assistant, you will play a vital role in supporting daily office operations and ensuring a smooth workflow across multiple departments. - Provide administrative and clerical support to ensure efficient office operations.
- Answer phones, greet visitors, and deliver excellent customer service to clients and vendors.
- Assist with scheduling meetings, managing calendars, and preparing meeting materials.
- Process incoming and outgoing mail, emails, and other correspondence.
- Support the preparation of proposals, contracts, invoices, and renewal documents.
- Maintain organized electronic and paper filing systems.
- Assist with data entry and updating company management software or CRM.
- Track renewals, proposals, work orders, and project documentation as needed.
- Order and maintain office supplies, uniforms, and basic equipment.
- Assist HR with new hire paperwork, onboarding, and filing.
- Help coordinate office events, employee recognition, and internal communications.
- Support basic accounting functions such as processing receipts, expense reports, and vendor invoices.
- Ensure the office remains clean, organized, and professional in appearance.
- Perform additional administrative tasks as assigned by managers.
- High school diploma or equivalent required; associate degree preferred.
- Previous administrative or office support experience preferred.
- Proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint).
- Strong organizational skills and attention to detail.
- Excellent written and verbal communication skills.
- Ability to handle confidential information with discretion.
- Positive attitude, willingness to learn, and ability to work as part of a team.
- Valid driver's license preferred.
Hourly pay range: $18.00 - $25.00
