Job DutiesProvides supervision, guidance, and training for clerical staff in a probation & parole district office. Assists the district with management of probationer’s data and filing records. Assists in communication with probationers, court, public and other agencies. Supports the District in its mission of enhancing public safety and providing effective supervision to the adult probationers and for preparing comprehensive background reports for the courts and the Department of Corrections.
Coordinates the provision of support services for the district office and the management of inmates’ and probationers’ data and preparation of reports and correspondence. Provides office/administrative support while demonstrating excellent customer service skills. Provides support to the Probation & Parole staff by taking care of reports and correspondence, opening court cases. Serves as the Human Resource liaison as well as performing fiscal procurement and monthly reconciliation duties.
Experience providing office and administrative support in a professional setting, including experience supervising clerical staff. Qualifications include working knowledge of supervisory principles, general office procedures, business English, mathematics, and administrative practices. Applicants must demonstrate proficiency with Microsoft Office 365 applications, internal databases, typing, data entry, accounting, basic bookkeeping, and the operation of standard office equipment. The position requires the ability to prioritize workloads, organize and direct the work of others, compose correspondence, prepare reports, create forms, and interpret and apply policies and regulations.
Strong interpersonal and communication skills are essential for interacting with diverse groups, probationers, courts, other agencies, and the public. Experience performing human resources support tasks and fiscal duties such as procurement and monthly reconciliation.
Advanced knowledge or coursework or training in office administration, business management, or human resources; completion of supervisory, leadership, or customer service training; and familiarity with records management or criminal justice–related procedures. Certifications in areas such as office administration, bookkeeping, or procurement may be beneficial, as well as training in state or agency-specific systems, fiscal processes, or data management tools. Experience with state procurement systems, HRIS platforms, or document management software.
