Role Summary
We are seeking a talented and motivated Senior Administrative Assistant to provide proactive, high-quality, flexible, and reliable administrative support to the Head of Global Clinical Supply (GCS). In addition, planning and support to GCS Organization as required. This role assists with administrative functions relating to organization and communication across the team and ensures the efficient operation of team members.

Location/ Commute
This role is based at our headquarters site in Rahway, NJ.
We offer a hybrid setup, combination of an in-office (3 days) & remote/off-site (2 days).
This position cannot be 100% remote.
Communication Skills must be at a level to effectively interact with our Company's executives and internal/external clients to maintain workflow.
Develops and maintains internal Share Points, Microsoft Team Spaces, and Collaboration websites with the input of stakeholders.
Develop reports, presentations, tables, graphs, correspondence and conduct light research using appropriate software.
Coordinates special projects within the division/area and function.
Develops monthly agendas for leadership meetings with input from leaders and stakeholders.
Organizes and compiles meeting materials, facilitates meetings, records Action Items, and follows up for completion.
Calendar and Distribution list management for Outlook meetings and communications.
Organize on and off-site meetings | Coordinate all meeting logistics including meeting location, space designation, food & beverage, off-site dinners and teambuilding.
Coordinates local and international travel and logistics.
Contacts job applicant candidates and coordinates interviews to aid in hiring talent for the leadership team and their organization.
Education:
Required:
High School DiplomaPreferred:
Advanced education or certifications such as (e.g. Certified Administrative Professional, Project Management Professional Certification, Professional in Human Resources Certification)
Minimum of 8 years of Administrative Assistant experience.
Minimum of 3 years’ Executive Administrative experience supporting senior executives (Sr. Director, Executive Director, VP or above).
Advanced computer skills using MS Office Suite (Outlook, Word, Excel, Power Point etc.) and operation of other peripheral devices.
Communication skills must be at a level to effectively interact with company executives and internal/external clients, both on-site and remotely to maintain workflow.
Strong organizational skills and ability to handle and prioritize simultaneous assignments.
Extraordinary attention to detail.
Proactive, self-directed, with strong decision-making abilities.
Demonstrated experience scheduling and coordinating complex, multi-leg domestic and international travel.
Experience processing Visa and Passport applications.
SAP experience:
Expense Reports;
Purchase Orders and Payment Requests;
Vendor Add Forms.
Experience with event planning and coordination.
Advanced education (associate or bachelor's degree) or certifications (e.g., Certified Administrative Professional, Project Management Professional Certification, Professional in Human Resources Certification).
The salary range for this role is: $82,700 - $130,200.
This is the lowest to highest salary we in good faith believe we would pay for this role at the time of this posting. An employee’s position within the salary range will be based on several factors including, but not limited to relevant education, qualifications, certifications, experience, skills, geographic location, government requirements, and business or organizational needs.
The successful candidate will be eligible for annual bonus and long-term incentive, if applicable.
