1. Video Conferencing, Events & Meeting Support
" Prepare and test conferencing systems before meetings.
" Ensure displays, microphones, speakers, and cameras work correctly.
" Support hybrid meetings (onsite + remote).
" Troubleshoot audio, video, and connectivity issues during sessions.
" Monitor active conferences to maintain quality.
" Resolve issues quickly to avoid broadcast or presentation disruptions.
2. Meeting Room Preparation & Inspections
" Prepare meeting rooms before scheduled bookings.
" Verify all required equipment is present and functional.
" Test displays, speakers, microphones, and conferencing hardware.
" Identify and address issues before meetings start.
" Report missing or damaged equipment.
3. AV Equipment Operation & Maintenance
Support and maintain:
" Projectors, large displays, video walls
" Microphones, speakers, and audio systems
" Video conferencing hardware
" Room controllers
" Cabling and AV signal infrastructure
Key tasks:
" Diagnose equipment failures.
" Maintain cabling and connections.
" Ensure systems remain operational and reliable.
4. Technologies and Devices Used
" Cisco Webex Room Kit EQ Modular conferencing system used in large meeting rooms providing high quality video, camera tracking, and integrated audio components.
" Cisco Room Bar All in one conferencing device combining camera, microphone array, and speakers, typically used in small to medium meeting rooms.
" Microsoft Surface Hub Interactive collaboration display with Microsoft Teams integration and digital whiteboard capabilities used during meetings and presentations.
" Neat Bar Pro Video conferencing system designed for medium to large rooms, offering advanced cameras and audio processing for high quality meetings.
" Lenovo Think Smart Core Compute unit used in Microsoft Teams Rooms environments that runs the meeting software and connects to room AV peripherals.
" Crestron Room Scheduling Panels Panels installed outside meeting rooms that display reservation status and calendar visibility. They show current and upcoming meetings and help users identify room availability.
5. Preventive Maintenance
" Perform routine equipment checks through the new MyIT option (myIT Portal)
o Audio check
Mics + Speakers
o Screens check
o Booking Panel check
o Control Panel check
o Teleconference System check
o Wiring check
o Furniture check (for the Facilities)
o Environment check
" Ensure AV systems remain in a ready to use state.
" Coordinate repairs with external AV vendors (AVTG)
o Shared excel backlog + direct phone contact
" Contacting VNOC team via Service Now Video Conference Requests - The Source
" Document maintenance activities and equipment status.
6. End User Support
" Help employees use meeting room and presentation equipment.
" Troubleshoot user issues quickly.
" Assist executives with priority support when required.
" Onboarding presentation on the use of the office equipment and general information on booking the rooms
7. Service Now Ticket Management
" Monitor incoming AV tickets. (AV EMEA Czech Republic)
" Review meeting or event requirements.
" Prepare rooms or equipment as requested.
" Provide support during the meeting if needed.
" Document actions and close tickets.
" Escalate complex issues to the appropriate teams.
8. Troubleshooting & Escalation. On-site troubleshooting includes:
" Checking cabling and physical connections.
" Restarting devices/systems.
" Replacing faulty cables or adapters.
" Verifying device settings and signal routing.
