General Job Description
We are seeking a proactive, detail-oriented Administrative Assistant to support daily office and field operations. This role is critical in ensuring smooth communication and efficient workflow between office staff, field technicians, vendors, and subcontractors.
The ideal candidate is organized, dependable, and able to manage multiple priorities in a fast-paced environment. This position will assist with technician scheduling, project coordination, and pre-construction calculations to help support project planning and office operations.
Responsibilities- Coordinate and manage scheduling for field technicians and project staff
- Assist with pre-construction calculations and project documentation
- Communicate with vendors, subcontractors, and field personnel regarding schedules and project needs
- Maintain project files, job documentation, and administrative records
- Prepare spreadsheets, reports, and administrative documents
- Support office operations including data entry, filing, and correspondence
- Update scheduling systems and track project progress
- Provide administrative support to management and project teams
- Perform other duties as assigned

Specific Qualifications QualificationsRequired
- Minimum 1 year of administrative or receptionist experience, preferably in a fast-paced environment
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook)
- Strong organizational skills and attention to detail
- Ability to manage multiple priorities and meet deadlines
- Strong verbal and written communication skills
- Ability to read, write, and speak English fluently
Preferred
- Bilingual (English/Spanish) a plus
- Experience in construction, HVAC, electrical, or skilled trades environments
- Experience with Microsoft Dynamics is a plus
This role operates primarily in a professional office environment with frequent interaction with field personnel and vendors. The position supports both office and field operations in a fast-paced, team-oriented workplace.
Physical Requirements- Ability to sit, stand, and walk for extended periods during the workday
- Ability to perform repetitive tasks such as typing, filing, and data entry
- Ability to lift up to 25 pounds occasionally (files, office supplies, packages)
