Job Duties

This position is primarily on‑site and requires the incumbent to be physically present on campus for approximately 80% of the full‑time equivalent (FTE). The position operates on a 32–40 hour per week schedule, Monday through Friday. Required on‑site presence between 9:00 AM and 3:00 PM, with flexibility to work occasional evenings or weekends as needed to support operational needs and special events.

Primary Purpose of the Position:
The role provides administrative support and serves as part of the team that responds to phone and in‑person inquiries about the college. The ideal candidate will have a friendly, customer‑focused demeanor and a professional, proactive approach that contributes to a welcoming and positive office environment. This position is part of the overall Dean’s Office administrative team and participates in a rotating schedule with other Administrative Associates to ensure on‑site coverage.

Responsibilities include greeting visitors, responding to inquiries, and providing general office support to maintain a welcoming and professional environment.

Key Responsibilities
  • Support for the Assistant Dean – manage the Assistant Dean’s calendar, visitors, calls, and correspondence to maximize efficiency.
  • Coordinate special events hosted by the Assistant Dean for Professional Education and Accreditation.
  • Compile and organize information for reports, presentations, and other materials.
  • Draft and edit letters, memos, reports, and meeting minutes.
  • Assist with meeting scheduling and related logistics.
  • Support for the Associate Dean – coordinate and support special events and projects hosted by the Associate Dean.
  • Assist with administrative and research‑related projects as assigned.
  • Provide administrative and operational support to the Assistant Dean for Operations.
  • Perform additional duties and special projects as assigned by the Assistant Dean for Operations to support college initiatives and operational needs.
  • Coordinate and manage ordering, inventory, and distribution of office supplies to ensure efficient daily operations.
  • Oversee scheduling, coordination, and utilization of college facilities, including CTI conference rooms, to support meetings, events, and programming.
  • Manage reservation and use of shared college resources, including vehicle transportation, ensuring compliance with university policies and efficient allocation of resources.
  • Other office duties as assigned by Dean’s Suite.

Minimum Experience / Education

High school diploma or equivalent and at least two years of administrative support experience; or equivalent combination of training and experience.
