Admission Specialist / Intake Coordinator
Citizens Behavioral Health provides behavioral health services through our Partial Hospitalization Program (PHP) and Intensive Outpatient Program (IOP) for adults and youth. We are seeking a dedicated Admission Specialist / Intake Coordinator to serve as the first point of contact for prospective clients, families, referral sources, and community partners. This role plays a critical part in ensuring a smooth, supportive, and efficient admission experience.
Position SummaryThe Admission Specialist / Intake Coordinator manages the intake and admissions process from initial inquiry through program enrollment. This position coordinates communication between clients, families, referral sources, clinical staff, and administrative teams to help individuals access appropriate services while maintaining accurate documentation and operational efficiency.
Key Responsibilities Intake & Client Screening- Respond to inquiries from prospective clients, families, healthcare providers, schools, and community referral sources.
- Conduct preliminary screenings and gather information regarding treatment needs and service eligibility.
- Schedule intake appointments and coordinate admission assessments.
- Provide clear information regarding program services, expectations, and available treatment options.
- Support individuals and families throughout the admission process with professionalism and compassion.
- Verify insurance eligibility and benefits for prospective clients.
- Assist with obtaining required authorizations and treatment approvals.
- Coordinate communication with insurance providers and payer organizations.
- Maintain accurate records related to insurance verification and authorization activities.
- Communicate admission status and financial information when appropriate.
- Coordinate all admission documentation and onboarding requirements.
- Ensure intake forms, consents, and supporting documents are completed accurately.
- Create and maintain client records within electronic health record systems.
- Monitor admission, discharge, and census information.
- Maintain organized and secure client records in accordance with organizational standards.
- Provide excellent customer service throughout the intake process.
- Support clients and families during transitions into treatment services.
- Assist with referral coordination and community resource connections when appropriate.
- Maintain ongoing communication with referral sources and community partners.
- Help reduce barriers to treatment access through proactive follow-up and coordination.
- Collaborate with clinical, billing, and administrative staff to support admissions and program operations.
- Maintain accurate admission reports and operational tracking data.
- Participate in staff meetings, training activities, and process improvement initiatives.
- Support organizational goals related to service access and client engagement.
- High School Diploma or GED required.
- Bachelor’s Degree in Psychology, Social Work, Human Services, Healthcare Administration, or a related field preferred.
- Minimum 2 years of experience in healthcare admissions, intake coordination, patient access, or behavioral health services.
- Strong customer service, communication, and organizational skills.
- Ability to manage multiple priorities in a fast-paced environment.
- Experience working with electronic health records and administrative systems.
- Strong attention to detail and commitment to accuracy.
- Experience in behavioral health, mental health, substance use treatment, PHP, or IOP settings.
- Experience with insurance verification and authorization processes.
- Knowledge of healthcare admissions workflows and client intake procedures.
- Experience coordinating care with referral sources and community providers.
