About the RoleWe're looking for an Office Administrator/Executive Assistant to keep our Raleigh office running smoothly and provide direct support to our CEO. You'll be the go-to person for travel coordination, calendar management, equipment orders, document processing, social media posting, and the everyday logistics that keep the team focused on their work. This is a hands‑on, in‑office role for someone who's organized, reliable, and comfortable wearing a lot of hats.
ResponsibilitiesResponsibilities include, but are not limited to:
- Manage the Leadership Team's calendar, scheduling, and meeting logistics.
- Coordinate and book travel arrangements for team members.
- Order and manage office equipment and supplies.
- Coordinate meals and refreshments for team events and meetings.
- Run errands as needed to support office and team needs, including tasks requiring confidentiality and responsible handling of money.
- Keep the office clean, organized, and stocked.
- Handle document tasks such as filing, copying, and processing paperwork for signature (Docu Sign).
- Draft and post social media content (primarily Linked In) and support marketing tasks as needed.
- Other administrative tasks, duties, and responsibilities as assigned or as business needs require.
- Prior experience in an office administration, executive assistant, or coordinator role.
- Proactive self-starter who notices what needs to get done and takes initiative without being asked.
- Strong organizational skills, writing skills, and attention to detail.
- Reliable, self-motivated, and comfortable managing multiple tasks at once.
- Discretion in handling sensitive company information.
- Valid driver's license and reliable transportation.
- Comfortable using standard office and productivity tools.
- Must currently live in the Raleigh, NC area.
- Experience supporting an executive or leadership team.
- Experience in a small business or startup environment.
- Familiarity with travel booking platforms.
- Familiarity with social media platforms and content tools (Canva or similar).
- Familiarity with AI tools for productivity (Claude, ChatGPT, or similar).
