Aboutthe Role
The Office Manager is a key member of the Administration team responsible for supporting the efficient daily operation of the office and creating a professional, welcoming, and well-functioning workplace for employees, visitors, and external partners. This position serves as a highly visible representative of the organization and takes ownership of maintaining an organized, safe, and functional office environment.
The Office Manager provides broad operational and administrative support across the organization, anticipating office needs, identifying and resolving issues, and helping ensure employees and visitors have a positive experience. Key areas of responsibility include front desk reception and visitor support, facilities and vendor coordination, office and kitchen supplies, fleet management, conference room and meeting preparation, general office operations, and executive administrative support.
The position requires strong organization, attention to detail, professionalism, responsiveness, sound judgment, and a proactive, service-oriented approach.
- Own the day-to-day office experience, ensuring the workplace is welcoming, organized, well-maintained, and engaging. Serve as an on-site culture ambassador, helping foster a positive, connected environment that enhances employee experience and creates a workplace where employees enjoy coming to work.
- Serve as a welcoming and professional first point of contact for visitors, guests, partners, and other external stakeholders, representing the organization in a positive and professional manner.
- Greet guess, answer main phone line and direct calls, and send and receive mail and packages.
- Manage relationship with landlord, maintenance, janitorial, security, and parking staff. Identify any problems and work with providers to resolve issues. Review vendor performance and provide feedback/identify the need for change and elevate as necessary.
- Manage shared office, kitchen and breakroom areas, including daily upkeep, organization, supplies inventory, and resetting of common-use items and appliances. Proactively identify needs, including new supplies/equipment, and place orders as needed.
