Summary:Provides integrated support across clinical operations, quality and safety initiatives, medical/nursing staff governance, and executive communications. This role ensures alignment and coordination between physician and nursing leadership priorities. Must be able to represent both executives credibly across medical staff, nursing, administrative, and Board audiences.
This is a unique opportunity to work closely with the Chief Medical Officer and Chief Nursing Officer and play an integral role in supporting clinical and nursing leadership priorities across the organization. In this highly visible position, you will partner with physician, nursing, administrative, and executive leaders to coordinate executive priorities, leadership meetings and committees, communications, briefing and Board materials, and follow-through on key initiatives.
The role will also support the coordination and tracking of strategic priorities, quality and patient safety initiatives, regulatory readiness activities, and organizational goals, helping ensure important actions and decisions move forward.
We are seeking a proactive, highly organized professional who can anticipate the needs of executive leadership, manage complex calendars and competing priorities, build strong relationships across the organization, and handle sensitive or high-stakes information with discretion. Experience supporting senior leadership within a complex healthcare environment and familiarity with medical staff or nursing governance, quality and patient safety, and/or regulatory activities is preferred.
Responsibilities:- 1. This position will provide executive‑level administrative support to the Chief Medical Officer and Chief Nursing Officer. Anticipates needs related to schedules, activities, and priorities and provides administrative and/or clerical support to fulfill perceived needs. Supports the coordination and tracking of executive priorities, key initiatives, and organizational goals to facilitate timely follow‑through.
- 2. Communicates, follows up and acts as a liaison with department directors regarding project and report data due to Vice President. Ensures agenda, power point and documents for discussion are distributed in advance to meeting attendees. Prepares and distributes minutes of meetings.
- 3. Screens telephone calls, visitors and appointments. Provides information or refers appropriately. Opens, reads and screens mail addressed to supervisor. Responds to routine correspondence as instructed. Responds to email as instructed.
- 4. Schedules calendar commitments for directors and executives. Arranges meetings, conferences and travel logistics for executives and officials. Schedules high‑level executives.
- 5. May occasionally assist with budget tracking and administrative operations for the Chief Medical Officer and Chief Nursing Officer offices as needed.
- 6. Organizes supervisor's files (electronic and paper). Ensures materials are readily accessible and that file maintenance is current. Maintains confidentiality of information.

Professional Experience Requirements:
- * Four years of high level administrative/office management experience; preferably in support of a vice‑president or president of an organization.
