JOB TITLE: Data Management Specialist - CWD

LEVEL:107 FLSA: Non-Exempt

DEPARTMENT: Center for Workforce Development

East Central College has an opening for a full-time Data Management Specialist responsible for providing performing a variety of specialized administrative, technical, and operational duties in support of all Center for Workforce Development (CWD) departments. Serve as the primary administrator for the Center's Salesforce Customer Relationship Management (CRM) system while providing comprehensive administrative support for departmental operations.

MINIMUM QUALIFICATIONS: (A comparable amount of training, education or experience may be substituted for the minimum qualifications.)

  • Associate degree;
    Minimum of two to three years of related experience

ESSENTIAL TASKS: (Employee must be able to perform the following essential functions to the satisfaction of the employee's supervisor.)

  • Serve as the primary administrator for Salesforce Customer Relationship Management (CRM) system, including user administration, system configuration, data integrity, security, workflows, and continuous system improvements.
  • Develop, maintain, and enhance Salesforce reports, dashboards, automations, forms, and data collection processes to improve operational efficiency and support departmental decision-making.
  • Manage the collection, organization, validation, and maintenance of program and customer data to ensure accuracy, consistency, and compliance with college, state, and federal requirements.
  • Track program performance measures, key performance indicators (KPIs), and project outcomes; prepare reports and data analyses to support strategic planning and continuous improvement.
  • Provide direct administrative support for federal and state grants and workforce development programs administered by the Center for Workforce Development by maintaining records, monitoring compliance requirements, preparing and maintaining documentation, collaborating with customers, compliance managers, and other internal and external stakeholders, and assisting with reporting and program operations to ensure adherence to grant and program requirements.
  • Monitor project records and assist with program evaluation activities by maintaining performance data and supporting compliance and accountability requirements.
  • Analyze, as directed, existing business processes and recommend technology solutions, workflow improvements, and operational efficiencies to enhance departmental effectiveness.
  • Provide bookkeeping support, including processing invoices, purchase requests, reimbursements, budget tracking, account reconciliation, and maintaining financial records in accordance with college procedures.
  • Maintain departmental records, databases, electronic filing systems, and documentation to support audits, grant monitoring, and operational continuity.
  • Provide administrative support for all Center for Workforce Development departments, including Business and Industry, Healthcare Careers, Youth Outreach, Community Education, Apprenticeships, and other workforce initiatives.
  • Prepare correspondence, reports, presentations, forms, and other documents using appropriate software applications.
  • Perform assigned responsibilities, duties, and tasks according to established practices, procedures, techniques, and standards in a safe manner and with minimal supervision.

Salary range: $23.66 – $32.00per hour. While the full salary range is provided for growth potential, most new hires are initially placed within the lower portion of the range based on experience and institutional compensation guidelines. Position is level 107.
