Project Administrator

Does Your Experience Include?
- Bachelor’s Degree or some college courses in accounting or business preferred.
- Intermediate to advanced computer literacy, including experience in word processing, spreadsheets and accounting software.
- More than 5 years of billing and receivables, with at least 2-3 years in A/E environment.
- Knowledge of Sage 100 Microsoft Office and Procore.
- A thorough knowledge of standard contract terms, including hourly, lumps sum, not-to-exceed and how they are applied in the billing process.
You will be required to:
- Effectively communicate with Project Managers (PM) and Principals-in-Charge (PIC), regarding contract documents, change orders and other contract modifications, approvals, and any additional services-related to billing.
- Data entry of all project related invoices
- Prepare final invoice package containing draft and final invoices for all billable projects, including all applicable backup for approval by the Project Manager.
- Research any unbilled issues to optimize the billing possibilities for the billing period.
- Maintain the billing folders for all projects, with all the appropriate documents, including expenses, consultant invoices, and monthly invoices, in accordance with standard procedures.
- Understand prelim, lien releases and Mechanic liens
- Managing project closeouts and securing all guarantees and warranties before handover of the work
- Set up new projects, make transfers of employee billable hours and/or expenses, and open and close time classes in company system.
- Flexibly and effectively cope with change
- Clearly represent all information so that even bad news can be handled with expediency and transparency
- Keep your composure under pressure and encourage collaboration in the face of conflict

Does Your Experience Include?
- A bachelor’s degree preferably in Construction Management, Civil Engineering, Construction Engineering Technology, or other applicable field
- At least 5 years of commercial construction industry experience, with at least 2 of those years in project management
- Experience overseeing contracts of $10M or more
- Experience managing project teams of 1-10 members
- Experience with fast-paced schedules
- Technical knowledge of building components and systems
- Thorough knowledge of procedures: A102 and A201 contracts, subcontracts, change orders, submittals, RFIs and close out
- Proficiency with Bluebeam, BIM, Suretrak and Procore
You will be required to:
- Working collaboratively with the project superintendent for a quality pre-con and construction: ensuring the schedule is in place, being followed, and being updated with a level of detail sufficient for a meaningful baseline.
- Establishing and building relationships with clients/owners, owner’s reps, architects and subcontractors, resulting in repeat business and recommendations
- Project bidding and buyout, start up, jobsite management and efficient closeout
- Managing subcontractor procurement, submittals, RFIs and change orders
- Executing regular reporting on impacts to the baseline schedule
- Working collaboratively and proactively with the project superintendent: ensuring project safety
- Delegating appropriately and developing and teaching others to be effective
- The project’s gross margin and profitability
- Flexibly and effectively cope with change
- Self-motivate to learn, investigate and understand
- Commit to doing what the job requires to be done right
Does Your Experience Include?
- A bachelor’s degree preferably in Engineering, Construction Management, Architecture or other applicable background
- Up to four years of building construction experience; we also will consider college internship experience with similar companies in lieu of professional experience
