Position Summary:

The Scheduling Coordinator plays a pivotal role in ensuring the timely completion of scheduling tasks by efficiently balancing available resources with incoming requests. This position is responsible for managing adjustments to schedules and databases in response to shifting priorities, ensuring seamless operations across all projects.

🛠 What You'll Do:
  • Provide exceptional customer service and support to clients, installers, and internal teams.
  • Respond promptly to inquiries via phone and email regarding scheduling, escalations, and areas for improvement from installers, customers, and clients (TCS).
  • Monitor the location and arrival of installers to ensure project timelines are met.
  • Review incoming work orders for accuracy and incorporate notes from installers as needed.
  • Update and maintain Gantt schedules to ensure accurate project management and progress tracking.
  • Resolve pending installation requests and address issues raised by both customers and installers.
  • Act as a liaison between customers and installers to facilitate smooth communication and resolve any scheduling conflicts.
  • Send confirmation emails to customers and schedule installation appointments when necessary.
  • Generate daily work assignment reports and compare databases using Excel.
  • Perform other duties as assigned.

  • Quick learner with the ability to adapt to new software and systems.
  • Proven dependability and reliability in handling scheduling duties.
  • 1+ year in scheduling, logistics, or workforce coordination.
  • 1–3 years in customer service (phone-heavy or call center is a plus).
  • Must be available for full-time, in-office work in Raleigh, NC.

  • High school diploma or equivalent (Associate degree preferred).
  • 1+ year in scheduling, logistics, or workforce coordination.

Preferred Requirements &

Experience:
  • Advanced proficiency in Microsoft Excel (Intermediate to Advanced).
  • Experience with Salesforce or other CRM platforms.
