Job Summary

This position serves as an ambassador for the community and executes receptionist, customer service, hospitality, and other responsibilities to assist in the administration of the community. Must be available for evening shifts 5pm-10pm weekdays and weekends.

Overview

The role focuses on welcoming visitors, handling inquiries, and providing hospitality while supporting daily front desk operations and administrative tasks in a senior living community.

Duties and Responsibilities

  • Provide a positive first impression to anyone who enters the community.
  • Answer and screen incoming telephone calls in a courteous and professional manner; route calls and take messages according to policies and procedures.
  • Greet visitors in a friendly, courteous, and professional manner.
  • Follow hospitality touchpoints and procedures according to company standards.
  • Ensure the lobby area is maintained with pleasant ambience (scented, music, etc.) during shifts.
  • Screen and require visitors to sign in at the hospitality desk; notify residents of visitors as appropriate.
  • Instruct visitors according to residents’ instructions and coordinate with residents as needed.
  • Receive and process incoming mail; accept all outgoing mail and packages.
  • Assist with clerical duties, including typing, copying, ordering, and maintaining inventory of office supplies.
  • Maintain and update the Emergency Phone Number Log at the hospitality desk and keep resident emergency contact information current at the front desk.
  • Assist managers with clerical responsibilities and take RSVPs for special functions.
  • Oversee sign-up for scheduled transportation and provide community information or tours as needed.
  • Keep the hospitality desk and lobby area neat and organized; distribute maintenance request forms to appropriate managers.
  • Monitor resident health by noting changes in physical or mental health and advising a supervisor or Executive Director as appropriate.
  • Collaborate with the supervisor to create a positive, hospitality-oriented atmosphere for all associates and residents.
  • Deliver exceptional customer service to residents and visitors and maintain professionalism in challenging situations.
  • Participate in sales and marketing efforts as part of a sales-oriented culture; attend company trainings and webinars as scheduled.
  • Perform other related duties as assigned.

Qualifications

  • High school diploma or GED required.
  • Experience working with the public preferred.
  • Strong interpersonal skills and ability to relate to a variety of people and personalities.
  • Excellent organizational, oral, and written communication skills.
  • Comfortable with a multi-line telephone system, answering, taking messages, and transferring calls.
  • Proficient with word processing and clerical tasks; familiarity with Microsoft Office products.
  • Self-motivated with initiative and judgment to work with minimal supervision.
  • Ability to communicate effectively with all levels of management, staff, and the public.
  • Ability to work flexible hours and participate in holiday activities.

Working Conditions

This position works in a professional office environment within a Senior Living Community. Standard office equipment is used, and there may be exposure to infectious conditions, latex, blood-borne pathogens, chemicals, and pets.
