The Event Office Coordinator has responsibilities with booking, planning, coordinating and the execution of a wide variety of private and public events at The Angus Barn pavilion and Bay 7 in Durham.
This is a highly organized, hands-on position requiring excellent communication, exceptional attention to detail, strong follow-through, and the ability to manage multiple priorities in a busy and sometimes distracting environment.
Responsibilities include but are not limited to:
- Communicate with customers via phone and email throughout the planning process.
- Respond to all inquiries thoroughly and accurately.
- Conduct tours of The Angus Barn and event spaces while providing customers with an informative and hospitable environment.
- Follow up on inquiries, proposals and event details.
- Prepare contract and collect payment for bookings.
- Strong computer skills including working knowledge of Microsoft Outlook, Word, Caterease, Excel, Publisher, Canva and Adobe Pro. Hospitality software includes Team Up and Social Tables.
- Review and assist with preparing Banquet Event Orders (BEOs).
- Manage multiple events and priorities while maintaining a high level of accuracy and organization.
- Participate in meetings and assist with meeting preparation including coordinating all meeting documents.
- Be exceptionally organized, efficient and detail-oriented.
- Have excellent follow-through and the ability to prioritize and multitask.
- Remain focused and productive in a busy environment.
- Be flexible and willing to work some evenings, weekends and holidays as event schedules require.
- Have a strong work ethic, a positive attitude, a willingness to learn and a genuine desire to provide exceptional hospitality.
- High school diploma required with a minimum of two years of college education is highly preferred.
- Previous hospitality, event planning or customer service experience is highly preferred.
- Strong organizational and communication skills are essential.
- The right attitude, work ethic and willingness to learn are equally important.
- Some evenings, weekends and holidays will be required
