Job Summary

The Property Management Specialist is responsible for protecting the company’s leased real estate assets through proactive oversight of landlord performance and strict enforcement of lease obligations. This role ensures landlords uphold all maintenance, operational, and financial responsibilities by analyzing lease provisions, governmental regulations, and public notices. The Specialist drives accountability by issuing formal notices, managing disputes, and pursuing remedies when landlords fail to meet contractual requirements.

The position develops value‑added resolutions through monetary recoveries related to easements, consents, and other landlord‑driven impacts, prevents unnecessary costs arising from landlord non‑compliance, lease disputes, or code violations, and supports enforcement actions, default resolutions, litigation matters, and ongoing compliance. Through vigilant oversight and consistent landlord engagement, the Specialist protects company rights, minimizes exposure, and ensures optimal store and property performance across the portfolio.

What

will you do? Cross‑Functional Collaboration
  • Partner with Facilities, Real Estate, Construction, Store Operations, Accounting/Finance, Risk Management, and Tax teams to resolve issues throughout lease negotiations and ongoing lease operations.
  • Serve as a primary point of contact for Field/Store Operators and Landlords, sharing critical dates, policies, procedures, and addressing general inquiries and/or disputes.
Lease Administration & Compliance
  • Conduct thorough lease analysis to answer internal lease‑related questions and identify risk throughout the lease term.
  • Interpret leases and related real estate documents, providing guidance to internal teams to ensure compliance and protect company assets.
  • Manage compliance for leases, terminations, subleases, easements, license agreements, access easements, ROE’s and estoppels.
  • Track and manage all critical dates and deadlines; maintain checklists and engage stakeholders to ensure timely execution.
  • Monitor commencement and co‑tenancy requirements and exclusives, proactively mitigating revenue loss from missed dates or violations.
  • Evaluate and assist in collecting rent abatements or reimbursements from landlords to recover company expenditures.
Landlord, Tenant & Community Relations
  • Maintain strong business relationships with landlords, property managers, subtenants, local communities, and government agencies.
  • Prepare, issue, and track formal notices to landlords to enforce maintenance, performance, and repair obligations, partnering closely with Legal to evaluate and execute self‑help remedies when landlords fail to act, ensuring protection of company rights and timely resolution of non‑compliance.
  • Schedule and coordinate property inspections at the landlord’s request, ensuring alignment with lease requirements. Negotiate inspection timing and address any landlord‑proposed budgetary constraints on required repairs, providing firm, lease‑based tenant pushback when necessary to protect company rights and maintain property standards.
Issue Resolution & Risk Mitigation
  • Investigate and recommend cost‑reduction opportunities.
  • Resolve property‑related issues, lease disputes, demands, defaults, and enforcement matters.
  • Oversee insurance compliance for properties, tenants, and vendors.
  • Facilitate resolution of code violations and negotiate fine reductions with governmental agencies.
Negotiations & Financial Recoveries
  • Negotiate financial settlements related to easements, code violations, landlord nonperformance, and similar matters to secure appropriate compensation for impacts to company operations and rights.
  • Address landlord demands, disputes, and turnover requirements for closed stores, providing lease‑based tenant pushback when necessary. Ensure vacant spaces remain secure, maintained, and compliant with all lease obligations.
  • Manage damage and destruction recovery, including evaluating landlord responsibilities, coordinating with Legal and Risk teams, and pursuing reimbursement or repair obligations to restore affected locations and mitigate financial exposure.
