Clinic Business Representative Associate
Location: 7231 Sunwood Dr NW, Ramsey, MN
Job SummaryDeliver exceptional customer service where it matters most—at the start of every patient’s care journey. As the first point of contact, you’ll create a welcoming experience while ensuring accurate, efficient registration that sets the tone for quality care.
Key Position DetailsFTE: 0.8 (64 hours every two‑week pay period) – 8‑hour day shift, no weekends. Non‑union, on‑call and weekend rotation: none.
Responsibilities- Greets, welcomes, and performs registration with patients in person or by phone.
- Utilizes all tools, resources, and procedures to conduct patient check‑in, including interviewing patients for demographic and insurance information, providing appointment‑specific forms, and obtaining necessary documentation.
- Assists patients with telephone encounters, identifies key words to initiate appropriate responses and de‑escalation techniques as needed.
- Directs patients to appointment or procedure.
- Collects co‑pays and/or remaining balances and obtains required signatures.
- Responds to questions regarding financial assistance programs.
- Performs end‑of‑day reconciliation processes.
- May participate in prescription refill orders when appropriate and within scope.
- Manages and organizes the patient care lobby (or lobbies), providing department support.
- Cleans and disinfects the lobby and check‑in area(s), wheelchairs, stair wells, door handles, clipboards, and elevator keys throughout the day.
- Unpacks and restocks supplies, file cabinet(s), brochures, business cards, and makes copies of documents as needed.
- May schedule appointments or assist with other office communication needs such as answering and transferring calls, handling messages, and paging necessary parties.
- Performs weekly downtime checks and actively participates in staff meetings.
- Completes other duties as assigned.
- Must be at least 18 years of age.
- Education and/or experience needed to meet required functional competencies as listed.
- Minimum 1 year of basic computer skills.
- Associate’s or vocational degree (preferred).
- 0–2 years of experience with Microsoft Office products (Word, Outlook, Excel).
- 0–2 years of customer service, clerical, or other business office experience.
- 0–2 years of medical terminology knowledge.
Sedentary; lifts weight up to 10 lbs. occasionally, negligible weight frequently.
Pay Range$19.61 to $26.70 per hour, based on experience, education, and other factors. Additional differentials may be available for different shifts or work.
