Role Description

The Executive Assistant will provide comprehensive administrative support to the Lead Pastor, staff, and board members. This role involves managing schedules, coordinating meetings, maintaining records, assisting with onboarding processes, and ensuring compliance with organizational policies. The Executive Assistant will play a key role in facilitating communication, organizing events, and supporting the operational needs of the organization. The Executive Assistant will work in an office setting and may occasionally attend events or meetings outside regular hours.

Good organizational skills, good people skills, ability to prioritize projects, good communication skills (written & verbal), good judgment, ability to maintain confidentiality, detail-oriented, proactive, self‑motivated, strategic, efficient, professional, resourceful, able to make decisions on their own and execute confidently, and encourages and builds mutual trust. Must be comfortable with technology and have a willingness/aptitude to learn new things. Familiarity with Microsoft Office Programs, Adobe, and G‑Suite preferred.

Ability to pass a live scan and serve with minors. Self‑motivated, able to work independently (unsupervised). Able to sit, stand, bend, and safely lift and move objects weighing up to 50 pounds.

Hours:

Starting at 10 hours per week

Paid Federal Holidays (if lands on a regular work day)

Salary Range:
Starting hourly rate - (Salary range $18.31 - $23.18)

Tasks Include (But Are Not Limited To) General Administrative Support
  • Assist Lead Pastor with scheduling, planning, staff and board meeting agendas, reminders, materials, and pastoral care tasks.
  • Coordinate membership interviews, communicate new memberships, and update Planning Center profiles.
  • Manage inventory of keys, alarm codes, Ring Central account, and computer server access.
  • Manage Non‑Profit Google Suite and organizational policy documents.
  • Collaborate with Lead Pastor on special events and gifts for staff and board members.
Annual Tasks
  • Remind credit card holders to allocate expenses in a timely manner.
  • Connect family member applications with staff/board members for interviews.
  • Communicate new member details to the Secretary and update important dates in Planning Center.
  • Assist with onboarding new board members (create handbooks, invite to meetings, update Master Calendar with birthdays).
  • Utilize Planning Center and finance stats for annual reporting to the denomination (also in June).
  • Liaise with FMCSC for delegate registration and ensure all relevant individuals are registered for the Annual Conference.
  • Coordinate year‑end charitable giving letters with Lead Pastor and Finance Clerk.
Board Support
  • Assist with onboarding new board members (create handbooks, invite to meetings, update Master Calendar with birthdays).
  • Coordinate board nominee interviews and communicate recommendations.
  • Email nominees with congratulations and next steps (bio, picture, meeting dates).
  • Arrange cards, gifts, and resources for ordination candidates and outgoing board members.
  • Promote board nominees using bios and pictures (website, printed materials, mass emails).
  • Work with Treasurer on staff letters regarding benefit/pay adjustments for the coming year.
  • Board Meeting Support
  • Pre‑meeting:
  • Arrange meals for board meetings (coordinate with designated providers).
  • Provide board names and contact numbers to volunteers for reminder calls.
  • Assist Lead Pastor, Secretary, Vice Chair, and Treasurer with printing materials.
  • Ensure room setup for board meetings.
  • Post‑meeting:
  • File meeting minutes and printed resources in the records cabinet.
Employee Onboarding and Management
  • Assist with job descriptions, hiring processes, and reference checks.
