The Project Accountant supports the financial setup, billing, and administration of projects to ensure accurate invoicing, timely processing, and smooth coordination between customers, project teams, and finance. This role plays an important part in maintaining project records, supporting billing activities, and helping resolve customer or account-related questions.
The ideal candidate is organized, detail-oriented, and comfortable working with cross-functional teams while managing multiple projects and deadlines.
Key Responsibilities- Set up new projects in company systems, ensuring billing terms and requirements are accurate and complete
- Prepare and process customer invoices and required supporting documentation in a timely manner
- Maintain accurate project records throughout the project lifecycle, including setup, change orders, and closeout
- Review and reconcile billing amounts, percentages, and customer requirements before submission
- Complete customer billing forms and documentation (such as progress billing or compliance forms) and submit through required portals or channels
- Communicate regularly with internal teams and customers to respond to questions and support billing or account needs
- Assist with resolving billing discrepancies, account questions, and payment application in coordination with Finance
- Monitor assigned tasks, tickets, and deadlines to ensure work is completed accurately and on schedule
- Participate in project or team meetings to support project setup, billing status, and contract requirements
- Support service agreement setup, customer account maintenance, and relationship management
- May assist with agreement preparation and collections activities as needed
- 3+ years in contract management/billing
- 2+ years in administration
- High school diploma (or equivalent)
- Maintain dependable attendance and punctuality
- Ability to make repetitive movements (motions) of the wrists, hands, and/or fingers, daily
- Ability to walk, bend, stoop, hear, and speak, daily
- Move/Transport items weighing 20 pounds, occasionally
- Stand or Sit for long periods (4+ hours), daily
- Work is performed in an office environment
