The travel and meetings manager oversees all corporate travel logistics, meeting planning, and expense management activities for Applied Medical. This role leads the travel and meetings function, ensuring efficient coordination of domestic and international travel, high‑quality meeting execution, and accurate budget oversight within a fast‑paced medical device organization. By managing travel coordinators and partnering across departments, the travel and meetings manager enhances the experience of internal team members, visiting surgeons, and external partners.
Key Responsibilities- Supervise travel logistics for interview candidates, surgeon site visits, internal team members, and other business travelers, ensuring timely, accurate, and high‑quality support.
- Stay informed on global travel requirements, restrictions, passport guidelines, visa processes, and travel safety considerations to advise travelers effectively.
- Coordinate billing activities, including prepayments, credit card authorizations, vendor invoicing, and documentation associated with corporate travel.
- Oversee monthly reconciliation of corporate credit card accounts, ensuring accuracy and complete submission of required documentation.
- Support management by delivering timely and accurate reporting of travel and meeting expenses used for forecasting, budgeting, and decision‑making.
- Manage vendor relationships, including contract tracking, invoice processing, and performance monitoring to ensure reliable, cost‑effective services.
- Identify opportunities to improve travel processes, meeting workflows, and department efficiency through problem solving and innovative thinking.
- Collaborate with cross‑functional teams to coordinate meeting logistics, manage timelines, and ensure successful execution of on‑site and off‑site events.
- Deliver a high level of customer service by ensuring travel arrangements and meeting logistics are accurate, timely, and responsive to stakeholder needs.
- Maintain accurate financial reporting and reliable expense reconciliation that supports budgeting and forecasting requirements.
- Strengthen vendor performance and cost management through effective communication, contract oversight, and ongoing relationship management.
- Improve travel and meeting processes by recommending and implementing operational enhancements that support efficiency and service quality.
- Lead cross‑functional initiatives that streamline workflows, support field teams, and enhance the overall travel and meeting experience.
- Demonstrate proficiency with online booking tools such as Concur and an understanding of how travel management systems support corporate travel programs.
- Apply strong knowledge of the travel and hospitality industry, including flights, lodging, meeting venues, vendor contracting, and travel compliance.
- Use Microsoft Outlook, Excel, Word, and PowerPoint effectively for scheduling, reporting, communication, and documentation.
- Lead with strong people skills, supporting team members while managing priorities, timelines, and multiple ongoing projects.
- Communicate effectively through written, verbal, and phone interactions with team members, leaders, and external partners.
- Organize tasks with attention to detail and the ability to work independently or collaboratively within the framework of a team.
- Travel occasionally in support of national or regional meeting execution.
