May Institute is seeking an experienced Accounts Payable Manager to lead daily payables operations and ensure accurate, timely, and compliant processing of financial obligations. Reporting to the Financial Controller, this role oversees vendor invoices, the procurement card program, employee reimbursements, and the systems that support them—while maintaining strong internal controls and advancing process improvements.
Position Overview
The Accounts Payable Manager ensures financial accuracy, operational efficiency, and compliance across all payables functions. This role leads a small team, partners closely with the General Ledger team during month-end close, and leverages technology to streamline processes and reduce risk. The ideal candidate brings strong technical expertise, leadership capability, and a continuous improvement mindset.
Responsibilities- Lead Accounts Payable Operations:
Oversee the full AP cycle, from invoice batch management through payment disbursement - Ensure timely and accurate processing of vendor invoices, procurement card transactions, and employee reimbursements
- Maintain vendor portals and third-party financial systems
- Supervise & Develop Team:
Manage and mentor two AP team members - Ensure accurate expense coding and compliance with organizational policies
- Ensure Financial Accuracy & Compliance:
Maintain strong internal controls to safeguard organizational assets - Partner with the General Ledger team to support accurate and timely month-end close
- Ensure adherence to accounting principles, audit requirements, and regulatory standards
- Drive Process Improvement:
Identify and implement automation solutions to reduce manual errors and improve turnaround time - Evaluate workflows and recommend enhancements to increase efficiency and reduce bottlenecks
- Support system upgrades and best practice implementation
- Foster Strong Partnerships:
Maintain professional, responsive relationships with vendors and internal stakeholders - Resolve discrepancies, escalations, and inquiries promptly
- Promote a culture of accountability, integrity, and continuous improvement
- Bachelor’s degree in Accounting, Finance, or related field (or equivalent experience)
- 5+ years of progressive Accounts Payable experience, including supervisory responsibility
- Strong knowledge of accounting principles, internal controls, and audit processes
- Experience with financial systems and ERP platforms
- Proven ability to improve processes through automation and system optimization
- High attention to detail, sound judgment, and ability to manage confidential information
