General Responsibilities

  • Participates in the preparation of information relayed to the Library Board of Trustees
  • Acts as a liaison between Town Hall and the Library for purchasing, check requests, work orders and questions on procedures
  • Attends suitable meetings and workshops to enhance library services and personal performance
  • Travels to Town Hall for mailings, deposits, payroll checks and interoffice paperwork
Financial Responsibilities
  • Reviews with Library Directory any questions or concerns regarding accounts payable, donations and other financial issues
  • Tracks and monitors income and expenses
  • Sends monthly spreadsheet to tax collector for review and corrections if necessary
  • Prepares purchase orders and vouchers
  • Prepares monthly budget statements and voucher lists for the Library Board of Trustees
  • Maintains the cash box and calculates/posts monies daily
  • Takes bank deposits to Town Hall
  • Participates actively in the annual audit process
  • Keeps current on purchasing and contract laws and regulations
  • Works with the auditor and township CFO to ensure all financial issues are handled properly
  • Tracks donations and apprises Director of receipt of them
  • Coordinates the invoices, other associated paperwork and payment for programming
  • Empties the copier cash, records receipt and takes to bank
  • Performs duties as a back-up to payroll process
Purchasing Responsibilities
  • Tracks and orders supplies for all departments
  • Receives deliveries from vendors, checks packing slips and directs to appropriate department
  • Keeps current on approved vendors
  • Maintains records of orders placed and received
  • Coordinates with Town Hall the registration of new vendors
  • Keeps up-to-date on changes within the Town Hall requisition portal
Facility and Equipment Responsibilities
  • Maintains office machines and keeps track of maintenance contracts
  • Makes calls for services needed for facility and equipment maintenance
Special Projects
  • Manages our Museum Pass Program
