Document Controller

Are you an organized and detail‑oriented Document Controller with experience managing project documentation, ensuring compliance, and maintaining efficient information flow across construction projects?

Your Role

As a Document Controller, you will:

  • Receive, register and track incoming and outgoing documentation
  • Maintain document registers, logs and tracking records
  • Distribute approved documentation to relevant departments and teams
  • Maintain structured digital and physical filing systems to ensure documents are easily retrievable
  • Ensure superseded documents are removed from circulation and correctly archived
  • Support departments in locating and retrieving approved documentation
  • Assist in maintaining document revision records and version control
  • Prepare document control logs and reports as required by management
  • Support internal and external audits by providing requested documentation
  • Maintain confidentiality of company documentation and sensitive information
  • Apply specific skills and knowledge to deliver high‑quality outputs, while supporting peers and collaborating with the wider team
  • Apply Environmental, Social, and Governance (ESG) standards in day‑to‑day work, ensuring sustainable and ethical practices are upheld
  • Contribute to continuous improvement and innovation by suggesting and applying enhancements to processes, ensuring greater efficiency, accuracy, and compliance.
  • Apply technical expertise and discipline‑specific knowledge to deliver high‑quality outcomes within your area of specialisation.
  • Undertake any other reasonable duties and/or responsibilities as required by management, to meet the needs of the business.
What We’re Looking For Focus Areas
  • Initiating and managing workflows in EDMS
  • Coordinate with internal departments, and external stakeholders for timely document submissions and approval
  • Identify opportunities to improve EDMS workflows and automation
Essential Skill
  • Proficiency in any industry‑specific EDMS systems
  • Ability to work under deadlines and manage document turnaround times
