The Wyoming Department of Workforce Services is seeking a customer-focused Office Support Specialist to join the Rawlins Workforce Center. The Office Support Specialist provides exceptional customer service by greeting visitors, answering and directing phone calls, assisting customers with employment and job search resources, and supporting a variety of administrative functions that keep the Workforce Center operating efficiently.

ESSENTIAL FUNCTIONS
  • Performs a wide variety of moderate to complex program and operational support duties.
  • Applies knowledge of programmatic and administrative requirements.
  • Accurately maintains agency files and records; inputs data into databases.
  • Prepares reports; verifies computer systems, databases, and coded data for accuracy.
  • Responds verbally and/or in writing to requests for information.
  • Screens and corrects documents for procedural compliance; evaluates the information for accuracy.
  • Provides customer service to customers, clients, and staff. Acts as a resource and explains rules and procedures to coworkers, customers, and/or clients.
  • Performs administrative duties requiring considerable judgment, possibly involving fiscal, human resources, or other specific program areas.
  • Greets, screens visitors, and interviews customers/clients to evaluate and determine needs.
  • Refers customers to appropriate supportive service agencies.
  • Involves some processing/interpreting of legal documents.
  • Performs specialized tasks and coordinates general office functions such as administrative, property management, travel arrangements, procurement, personnel, information systems, or fiscal duties, including office machine maintenance, supplies, and reports, and provides training to staff in some of these areas.
  • Instructs customers in the use of State, Agency, and related websites to ensure a positive customer experience.
  • Assists customers in the use of basic MS Office tools to complete job applications, resumes, or other job-related materials.
  • Ability to work with a diverse clientele population.
PREFERENCES
  • Preference may be given to those with customer service experience and communication experience.
  • Preference may be given to those with Microsoft Word and Excel experience.
KNOWLEDGE
  • Knowledge of customer service techniques such as, but not limited to, de-escalation, product demonstration, teaching product features and functions, and coaching.
  • Knowledge of multiple computer software and internet utilities at an advanced level, including Microsoft Excel and Gmail.
  • Knowledge of techniques for providing a high level of customer service.
  • Knowledge in Human and Social Services.
  • Skills in proper grammar and punctuation.
  • Skills in teamwork and adapting to personalities.
  • Ability to build rapport with a variety of clients.
  • Ability to problem-solve with creative solutions.
MINIMUM QUALIFICATIONS
  • Education:

    Associate's Degree (typically in Business)
  • Experience:

    0-1 year of progressive work experience (typically in Business Office Communications) with acquired knowledge at the level of an Office Assistant II
  • Or, Substitution: 2-4 years of progressive work experience (typically in Business Office Communications) with acquired knowledge at the level of an Office Assistant II
  • Certificates, Licenses, Registrations:
    None

  • Some travel is required.
