Position Purpose

The Community Director oversees all operations of a 75-unit or smaller apartment community. As the primary employee, or while managing one maintenance staff member, you will coordinate and manage all activities, vendors, and resources to meet the community's objectives. This position requires a dynamic individual capable of independently managing all aspects of community operations with high professionalism and attention to detail.

Essential

Responsibilities

Administrative

  • Oversee and review all financial reporting and control, including budget preparation, monitoring budget variance (BVR's) and occupancy prediction reports, approving AP invoices, setting up AP invoices for payment, and managing equipment and supplies inventory, payroll, and bonuses.
  • Maintain a clean and organized office environment, including properly storing and shredding paperwork as needed, uploading essential documents to online and internal platforms, and ensuring notes are accurately and timely entered.
  • Accurately, timely, and efficiently process application verifications, complete lease paperwork, accept rent payments and deposits, organize, upload, and maintain lease paperwork, reports, maintain complaint logs, and other related documentation into the appropriate platforms.
  • Monitor competitors in person and online to understand the market.
  • Coordinate and supervise all vendor services, ensuring work is completed to the highest standards.

Operations

  • Manage all aspects of resident relations, including responding to inquiries, handling complaints and concerns, managing collections utilizing required platforms as necessary, overseeing move-ins and move-outs and incoming and outgoing mail, and handling resident packages.
  • Manage all marketing and leasing functions, including utilizing online platforms, showing units, screening and selecting qualified residents, preparing advertising and marketing programs, conducting competitive surveys, and ensuring compliance with rental applications and leases.
  • Maintain the physical condition of the property, including grounds and buildings. Duties may include trash removal, lighting repairs, painting, power washing, snow removal, and work inspections. You may perform maintenance tasks directly or coordinate with a maintenance staff member or external vendors.
  • Respond to resident maintenance emergencies, including calls received after-hours via an answering service.
  • Perform other duties and responsibilities to support the community's overall success

Leadership

  • Models the work performance, work ethic, attitude, and behavior expected of all team members.
  • Manage the recruitment process within ADP, including resume screening, hiring, and onboarding of employees. Ensuring the organization attracts and retains top talent and seamlessly integrates new hires.
  • Providing ongoing training, development opportunities, and feedback that fosters employee growth and alignment with company objectives through ongoing team and individual meetings.
  • Fully utilize the Performance review module within ADP to set performance expectations and review and track ongoing performance monthly, as necessary, and yearly.
Job Specifications
  • Minimum of two years' experience in property management or related field preferred.
  • Experience managing all financial aspects of property management.
  • Continuing education or certification in the property management field preferred.
  • Knowledge of business principles, management theories, and accounting/finance practices typically acquired through a bachelor's degree in business or a related field or equivalent work experience.
  • Strong written and verbal communication skills.
  • Ability to manage multiple priorities effectively.
  • Must possess a state driver's license and a reliable vehicle available during business hours.
