Job Description:

DePuy Synthes is recruiting for an Administrative Assistant, located in Raynham, MA.

The Administrative Assistant - Legal provides high-quality administrative support to the Office of Corporate Secretary and Legal Operations. This role plays a critical part in supporting corporate governance functions, including shareholder relations, Board and committee meetings, quarterly and annual reporting and shareholder meetings. The Administrative Assistant also supports the general operations of the DePuy Synthes Legal Organization, including department meetings, communications, material contingency reporting, and the Legal Organization intranet site.

The position offers exposure to a dynamic legal environment within a global medical technology organization and the opportunity to support work that directly impacts the reputation and success of the company.

Key Responsibilities
  • Provide day-to-day administrative support to Office of Corporate Secretary, Board and committee members, including calendar management, travel arrangements, onsite and offsite meeting coordination, and logistics for shareholder meetings.
  • Format, proofread, and distribute legal documents, correspondence, presentations, and reports while ensuring accuracy and confidentiality.
  • Coordinate internal and external meetings, including scheduling, agenda preparation, logistics, and materials distribution.
  • Maintain and organize legal files, records, in accordance with document retention and confidentiality requirements.
  • Track deadlines, approvals, and deliverables for corporate legal matters and escalate issues as needed to ensure timely completion.
  • Assist with expense reporting, purchase requisitions, and other administrative processes following established procedures.
  • Serve as a point of contact for internal stakeholders and external partners on administrative and logistical matters related to the Legal function.
  • Support continuous improvement initiatives by identifying opportunities to enhance administrative processes and efficiency within the Legal team.
Qualifications

Education:
  • High school diploma or equivalent required.
  • Associate's or Bachelor's degree preferred.
Experience and Skills:

Required:
  • Typically requires 4-6 years of relevant administrative or office support experience, aligned to a Senior Assistant level role.
  • Demonstrated experience supporting multiple leaders or professionals in a fast-paced environment.
  • Strong organizational skills with the ability to manage competing priorities and deadlines.
  • High attention to detail and accuracy, with the ability to handle confidential information with discretion.
  • Experience organizing large offsite meetings and events.
  • Proficiency in standard office software (e.g., Microsoft Outlook, Word, Excel, PowerPoint).
Preferred:
  • Prior experience supporting a Legal, Compliance, or Regulatory team.
  • Familiarity with legal terminology, document management systems, or contract workflows.
  • Experience working in a regulated or highly matrixed corporate environment.
  • Strong written and verbal communication skills.
