Patient Services Coordinator / Administrative Assistant (Temporary)

Location: Middleton, MA (Hybrid Schedule)
Duration: 3+ Months
Schedule: Monday-Friday, 9:00 AM - 5:00 PM
Compensation: $22/hour

Overview

A growing healthcare organization located north of Boston is seeking a Temporary Patient Services Coordinator / Administrative Assistant to support patient scheduling, care coordination, and day-to-day office operations. This role is ideal for an organized and customer-focused administrative professional who enjoys working in a fast-paced healthcare environment and supporting both patients and clinical teams.

Position Summary

The Patient Services Coordinator plays a critical role in ensuring efficient scheduling, effective communication with field staff, and continuity of patient care. In addition to care coordination responsibilities, this individual will provide front desk coverage and administrative support to help maintain smooth office operations.

Key Responsibilities
  • Coordinate patient visits, referrals, and scheduling activities
  • Maintain accurate scheduling information within electronic medical record systems
  • Monitor clinician caseloads and communicate staffing needs to leadership
  • Prepare and manage weekly and weekend clinician schedules
  • Coordinate admissions, recertifications, resumptions of care, and visit rescheduling as needed
  • Ensure adequate staffing coverage for vacations, holidays, and absences
  • Answer scheduling-related inquiries and elevate clinical questions appropriately
  • Monitor reports, identify scheduling issues, and resolve discrepancies
  • Maintain compliance with patient visit frequency requirements and authorization schedules
  • Communicate schedule changes and updates to clinical staff in a timely manner
  • Coordinate onboarding logistics and training schedules for new clinicians
  • Support front desk operations and provide a welcoming experience for visitors and staff
  • Assist with administrative duties including scanning, filing, data entry, inventory management, mail distribution, email correspondence, and phone coverage
  • Maintain patient confidentiality and adhere to all applicable privacy regulations
Qualifications
  • Associate degree or equivalent professional experience
  • Minimum of 1 year of administrative experience, preferably within a healthcare or medical office environment
  • Strong organizational, customer service, and communication skills
  • Proficiency with Microsoft Office, particularly Outlook, Excel, and Word
  • Comfortable using office technology and collaboration tools
  • Ability to prioritize competing demands and adapt in a fast-paced environment
  • Positive, team-oriented attitude and willingness to support a variety of office functions
Preferred Qualifications
  • Bachelor's degree or equivalent experience
  • Prior experience in healthcare administration, medical scheduling, or patient services
  • Experience working with electronic medical records (EMR) systems
  • Knowledge of healthcare operations and care coordination workflows
