We are seeking detail-oriented and highly organized Records Document Controllers to support document management activities for our team. In this role, you will be responsible for maintaining, organizing, and controlling business and technical documents to ensure accuracy, accessibility, and compliance with company standards. This position plays a key role in supporting efficient document workflows and secure information management.
Key ResponsibilitiesDocument Scanning and Uploading
- Scan and upload physical documents into the document management system in accordance with established procedures
Document Control and Organization
- Collect, register, and organize documents, including technical files such as drawings and blueprints
- Maintain accurate document records and filing systems
Document Review and Maintenance
- Review and update documents to ensure accuracy, version control, and compliance with quality standards
Communication and Version Control
- Notify relevant personnel of document updates, revisions, and new releases
- Ensure proper document access and usage procedures are followed
Cross-Functional Support
- Coordinate with multiple departments to manage records and ensure accessibility for authorized users
Confidentiality and Security
- Maintain strict confidentiality of sensitive information and ensure document security protocols are followed
Continuous Improvement
- Identify and support improvements to document management processes to enhance efficiency and accuracy
- Strong attention to detail and organizational skills
- Proficiency in document management systems and Microsoft Office Suite
- Effective communication and interpersonal skills
- Ability to handle sensitive and confidential information
- High school diploma required
- Associate degree or equivalent preferred, but not required
- Additional training or coursework in records management or a related field is a plus
- 1 3 years of relevant experience preferred, but not required
- Experience in document control, records management, or a similar role is a plus
