New Hudson Facades is seeking a highly organized and detail-oriented Compliance Manager to oversee and administer the company’s contract compliance, insurance compliance, vendor onboarding, and corporate compliance programs. This role serves as a key contributor to risk management, project compliance, and operational process execution, ensuring contractual, insurance, regulatory, and customer requirements are met across the organization.
Key Responsibilities Insurance Administration- Manage OCIP/CCIP enrollments, reporting, and documentation requirements.
- Coordinate monthly payroll and labor hour reporting submissions.
- Maintain client‑required insurance documentation and records.
- Administer and track workers’ compensation claims and related documentation.
- Manage insurance policies, endorsements, amendments, and schedules.
- Support insurance renewals and audits.
- Coordinate communications and documentation with insurance carriers, brokers, adjusters, and internal stakeholders.
- Manage certificate of insurance (COI) requests, reviews, and compliance tracking.
- Review vendor insurance, payment application, and lien waiver compliance requirements.
- Oversee vendor onboarding processes and documentation controls.
- Verify contract documentation and insurance compliance prior to payment processing.
- Maintain compliance records within company systems and third‑party compliance platforms.
- Track agreements through review, approval, execution, renewal, and closeout.
- Manage contract execution workflows, including Docu Sign routing and transmittals.
- Maintain contract repositories, document organization, and version control.
- Prepare reports on contract status, compliance activities, and vendor onboarding metrics.
- Manage customer prequalification submissions through platforms such as Highwire, Building Connected, and similar systems.
- Coordinate WIP reporting, OSHA logs, EMR data, backlog reporting, and financial documentation.
- Maintain prequalification records and supporting documentation.
- Serve as the primary point of contact for client diversity and M/WBE program requirements.
- Manage project‑specific diversity reporting through customer‑required platforms.
- Support Operations in documenting and tracking Good Faith Efforts during procurement activities.
- Track business licenses, entity registrations, and renewal requirements.
- Coordinate registered agent activities and corporate filings.
- Manage certificates of good standing and related state filings.
- Maintain corporate records and compliance documentation.
- Partner with Operations, Safety, HR, Finance, and Legal teams to support compliance initiatives.
- Assist with incident documentation, reporting requirements, and policy administration.
- Identify opportunities to improve compliance processes, contract administration, and document management systems.
- Support implementation and continuous improvement of legal and compliance workflows.
- Associate’s degree or Bachelor’s degree in Business Administration, Legal Studies, Risk Management, Construction Management, or a related field.
- Strong organizational, administrative, and project management skills.
- Excellent attention to detail and ability to manage multiple deadlines simultaneously.
- Strong written and verbal communication skills.
- Proficiency with Microsoft Office Suite and document management systems.
- Ability to handle confidential and sensitive information with professionalism and discretion.
- Paralegal certificate.
- Experience in insurance compliance, contract administration, legal operations, risk management, vendor compliance, or related functions.
- Experience with in construction, manufacturing, engineering, or other project‑based industries.
- Familiarity with compliance platforms such as Highwire, Building Connected, or similar systems.
- Ability to travel as required.
- Ability to work at a computer for extended periods.
- Ability to stand and move throughout office or project environments as needed.
