We are seeking an organized, detail-oriented Coffee Trade Administrator to join our commodities team. In this role, you will manage trade execution, process global shipping documentation, and ensure green coffee contracts flow smoothly from origin to destination. The ideal candidate thrives in a fast-paced international environment and understands supply chain dynamics.

Key Responsibilities
  • Execute Contracts:
    Administer purchase and sales contracts from initial booking through final delivery.
  • Manage Documentation:
    Prepare, review, and submit essential trade documents including Bills of Lading, Phytosanitary Certificates, and Certificates of Origin.
  • Coordinate Logistics:
    Liaise with shipping lines, freight forwarders, customs brokers, and warehouses to track cargo status.
  • Track Samples:
    Coordinate the movement and logging of pre-shipment and arrival coffee samples between quality labs and clients.
  • Resolve Discrepancies:
    Address weight variations, quality claims, or shipping delays proactively with counter parties.
  • Maintain Systems:
    Keep our system updated with accurate pricing, inventory levels, and shipment updates.
  • Actively participate in weekly trading, logistics and strategy calls.
  • Other duties as assigned by company and departmental leaders.
Qualifications & Requirements
  • Experience:

    2+ years in international trade, commodities traffic, logistics, or administrative support (coffee industry experience preferred).
  • Knowledge:
    Solid understanding of Incoterms, ocean freight, and import/export compliance regulations.
  • Skills:

    Exceptional attention to detail, strong data entry accuracy, and excellent problem-solving skills.
  • Tech Stack:
    Proficiency in Microsoft Excel (VLOOKUPs, pivot tables) and experience using commodity or ERP software (e.g., SAP, Net Suite).
  • Communication:
    Clear, professional verbal and written communication style for managing global vendor relationships.
Compensation
  • $60-75k salary; will increase if talent and experience warrant
  • Annual performance bonuses from 10-20%
