The Opportunity:The Disclosure & Charge Processing Clerk (DCPC) is responsible for accurately composing, compiling, and generating a large volume of complex, confidential and time sensitive materials including Court and legal documents, criminal reports, memorandums, letters, & miscellaneous correspondence. The DCPC is responsible for distributing disclosure of this information to Federal, Provincial and Municipal Crown Prosecutors by electronic and physical mediums. The DCPC is also responsible to enter and generate all Criminal, Provincial, Federal and Municipal Court charges and related documents on the JOIN (Justice On-Line Information Network).
TopKey Responsibilities:
- Preparation and Processing of Legal & Case Documents – Interpret, draft, type, and process complex, highly confidential legal, court, and criminal case materials ensuring accuracy and compliance with laws and standards.
- Court Document Management and Quality Control – Receive, review, edit, and verify court documents (e.g., charges, evidence, records), ensuring completeness, accuracy, and correct court scheduling.
- Data Entry and Case Management in Justice Systems (JOIN) – Enter, update, and manage criminal charges, accused information, witness details, and related records within the JOIN system with high accuracy.
- Disclosure and Case File Preparation – Compile, organize, scan, and distribute disclosure packages to Crown prosecutors and defence, ensuring adherence to RCMP and legal disclosure standards.
- Report Writing, Transcription, and Information Handling – Generate reports, transcribe statements, prepare correspondence, redact sensitive information, and maintain organized digital records.
- Coordination with RCMP, Crown Prosecutors, and Agencies – Liaise with investigators, prosecutors, court staff, and other agencies to coordinate case materials, resolve issues, and respond to inquiries.
- Use of Specialized Systems and Office Software – Operate and maintain proficiency in police and justice databases (e.g., PROS, PIRS, CPIC, JOIN) and office tools to manage and retrieve information.
- Compliance, Procedural Support, and Administrative Maintenance – Ensure all work aligns with legislation, RCMP procedures, and policies; support process improvements, maintain records/templates, and update shared resources.
- Grade 12, plus one (1) year post secondary education from a recognized Administrative Professional program.
- One (1) year experience in a police, legal or court setting, to provide knowledge of police and court procedures.
- Must be well versed and highly knowledgeable in the statutes and laws of Canada, including but not limited to The Criminal Code of Canada, Provincial and Federal Statutes, and Municipal Bylaws and related documents.
- One (1) year of experience working with Microsoft Office Suite (Word, Excel, PowerPoint) and Adobe Acrobat.
