Position Title Program Assistant, School of Health and Wellness
Position Summary The School of Health and Wellness is seeking three Program Assistants to provide administrative support to programs within the School. The Program Assistant acts as front‑line support for student inquiries, provides program‑specific information, coordinates timetable entry and supports project administration during curriculum review and accreditation cycles. The role includes generating reports via reporting systems, maintaining databases, and contributing to the efficient operation of the School.
PositionResponsibilities
- Support the Associate Dean, Faculty, and Operations Manager with course/program delivery and execution, including providing information on RDP processes, timelines, service, and administrative practices.
- Organize and prepare for the new academic year: prepare class schedules, update student forms, attendance, and mark records, and prepare student and instructor packets for each intake.
- Coordinate instructor submission, complete preparation of course outlines, course packs, and manuals.
- Review, track, and collect disclosure forms, class lists, program enrolments, internal phone book listings, security lists; inform appropriate individuals for action.
- Assist programs with course evaluation preparation and documentation.
- Act as the initial point of contact for students, staff, faculty, and external contacts; respond to queries or forward appropriately.
- Provide program‑specific information on requirements, electives, procedures, timelines, and general facts for designated portfolio; refer students to the Student Connect Centre Advisors when needed.
- Communicate with the Registrar’s Office regarding student applications, continuing registrations, and prior learning assessments; deliver program‑specific information to prospective and registered students.
- Support student orientation and retreats.
- Collaborate with the Academic Operations Manager, Associate Dean, and Chairs to coordinate the timetable process, ensuring conflict‑free scheduling and resolving issues with the Scheduling Office.
- Work with other Schools to schedule cross‑school courses and coordinate instructors who teach across Schools.
- Generate reports through Banner/Cognos to provide current class rosters.
- Monitor, maintain, and update the central Blackboard program site.
- Support program and advisory committee meetings by planning, preparing agendas, taking minutes, and distributing them.
- Coordinate details for internal and external events, recruitment, and retention activities.
- Record and prepare minutes, follow up on action items, and distribute minutes as appropriate.

Required Qualifications- Two (2) years of post‑secondary training in Office Administration, Business Administration, or a related program.
- Minimum of 2–3 years of relevant experience.
- Proficient in Microsoft Office 365 (Word, Excel, Outlook, SharePoint) and working knowledge of Records Management.
- Experience using Blackboard, Banner, Cognos.
- Experience working in a post‑secondary educational institution.
Salary $54,011 – $63,185 per year.
