Position: Administrative Support IV )

The Administrative Support IV is responsible for performing a variety of general administrative and clerical services. The incumbent will work both under direction and intuitively to provide effective and productive support to the Manager, collaborating with Administrative and Management teams to support the program’s goals and objectives in a professional and culturally appropriate manner aligned with our values. The role requires working effectively under pressure with a high degree of independence, demonstrating excellent communication, interpersonal skills, sound judgement, problem‑solving skills, and high accuracy and accountability.

Key Responsibilities
  • Staff scheduling and rotation development.
  • Calendar management, preparation of materials, and support of meetings.
  • Financial activities such as expense claims and payroll duties.
  • File management and maintenance.
  • Use discretion to address escalated issues or problems lacking established processes or guidelines.
  • Exercise judgment, discretion, and independent decision making across internal and external relationships and administrative duties.
  • Collaboration with Administrative and Management teams to support program goals.
  • Working effectively under pressure and independently.
Qualifications
  • Some post‑secondary education; completion of post‑secondary education in business administration, medical office assistant, or related fields.
  • Advanced or specialized administrative skills and knowledge to support complex procedures, practices and initiatives within a department or program.
  • Demonstrated excellent written and verbal communication and interpersonal skills.
  • Advanced/intermediate computer skills with MS Word, MS Access, MS Excel, MS Outlook, MS Visio, MS One Note, MS PowerPoint, and SharePoint.
  • Experience with E‑People Time Keeper and Recruitment Management System (RMS).
