The Opportunity:This position provides administrative support to the legislative functions of the Legislative Services Department. This position is responsible for providing a wide range of professional administrative duties under tight deadlines that require a high level of accuracy, confidentiality and discretion. The primary focus of this position is Corporate Meetings which include Council Meetings, Committee of the Whole Meetings, and Committee Meetings.

This position deals with politically sensitive issues, elected officials and senior management.
TopKey Responsibilities:
Coordinate and support Council, Committee, and corporate meetings, including preparing agendas and minutes, organizing meeting logistics, supporting presenters, and providing procedural and administrative assistance.
Provide administrative support for Council governance processes, including preparing reports, decision letters, meeting materials, and maintaining corporate meeting management systems.
Manage and maintain the City’s bylaws, including bylaw consolidation, distribution, numbering, record maintenance, and administrative support related to bylaw development and amendments.
Support appeal boards and legislative programs by coordinating hearings, facilitating meeting processes, assisting with decision documentation, and providing administrative and procedural support.
Provide administrative and customer service support to the Legislative Services Department, including reception services, conducting research, drafting correspondence and reports, and participating in departmental projects.
Support corporate customer service operations as a member of the City Call Centre, responding to inquiries and assisting internal and external stakeholders.
As our preferred candidate, you will have:Two-year diploma from a recognized school in legal assistant, office administration, business administration or equivalent
Two or more years of related Municipal Government experience
Extensive meeting management including agenda preparation, minute taking and providing procedural advice
Experience with bylaw processes including bylaw readings, basic structure of bylaws, processes to amend and consolidate bylaws
Knowledge of procedures, policies, bylaws, Municipal Government Act and political systems
Intermediate knowledge of Microsoft Word, Excel and Outlook
Knowledge of Robert’s Rules of Order
Experience working with audio and visual equipment in meeting environments
Certified Assessment Review Board Clerk and Subdivision & Development Appeal Board Clerk, or ability to obtain
Commissioner for Oaths, or ability to obtain
