This is not a traditional administrative position. Responsibilities Executive Partnership & Time Protection- Own and manage the CEO’s calendar, inbox, and communications with a strategic lens
- Anticipate needs, prepare agendas, and ensure meetings drive decisions and outcomes
- Act as a gatekeeper and thought partner — not just a scheduler
- Track commitments and ensure follow‑up and accountability across the organization
- Translate Vivid Vision priorities into operational plans, timelines, and projects
- Oversee cross‑functional initiatives with clear owners, milestones, and outcomes
- Maintain a single source of truth across CRM, project management, and data systems
- Support onboarding and offboarding for team members and advisors
- Prepare dashboards, summaries, and reports that support leadership decision‑making
- Support high‑touch client and advisor experiences, events, and onboarding moments
- Ensure systems enhance trust, clarity, and peace of mind — not friction
- Coordinate logistics for in‑office, client‑facing, and firm events
- Support execution of marketing initiatives, including social media, content, and events
- Assist with content posting, editing, scheduling, and coordination
- Use AI tools to increase efficiency, improve workflows, and support content creation
- Maintain brand consistency across communications and internal systems
- Model and protect Convergence’s Vital Behaviors and human‑centered culture
- Support internal rhythms, including weekly meetings, reviews, and planning cycles
- Help create an environment where people feel supported, challenged, and accountable
- 4+ years supporting senior leaders in complex, fast‑moving environments
- Strong operations, project management, and systems‑thinking skills
- Experience in financial services, professional services, or other high‑trust industries
- (RIA experience is a plus, not a requirement)
- Advanced experience with CRMs and workflow tools
- Strong marketing, social media, and content coordination skills
- Comfort using AI tools to enhance execution, insight, and efficiency
- Excellent written and verbal communication skills
- High emotional intelligence, discretion, and sound judgment
- Calm under pressure

Compensation: $50,000 - $75,000 per year
