Job Title: Sr Administrative Assistant
Location: San Rafael, CA, United States
Type: Contract
Compensation: $25.00- $34.89
Contractor Work Model: On-Site, Hybrid Role (Need to be in San Rafael Office When Needed, Approximately 5 days per month)
Hours: 40 hours per week
OverviewLeading biotechnology company looking for an experienced Sr. Administrative Assistant. Ideal candidates should have at least 5 years administrative experience in the biotechnology or pharmaceutical industry. As well as experience with SAP/SRM contract management experience.
Responsibilities- Coordinate and organize meetings, conference calls, and offsite events, including logistics, technical setup, catering, and minute-taking
- Manage travel arrangements, including flights, accommodations, and transportation, ensuring adherence to budget and policy guidelines
- Prepare and process expense reports using Concur or similar systems, ensuring accuracy and timely reimbursement
- Oversee office supplies and departmental inventory management
- Serve as the point of contact for IT issues, supporting ongoing team productivity
- Participate actively in GPS meetings, contributing to effective communication and operational continuity
- Maintain and coordinate departmental calendars, supporting leadership and staff scheduling
- Submit and track contract requests within Bio Marin’s contract management system
- Reconcile departmental invoices and monitor financial transactions
- Develop and update departmental project trackers, follow up on deliverables, and prepare status reports
- Organize and maintain departmental files within Bio Marin’s document management system
- Manage contact lists and organizational charts to reflect department changes
- Minimum of 5 years administrative experience, preferably supporting pharmacovigilance or biotech/pharmaceutical functions
- Proven experience with SAP/SRM contract management systems
- Advanced proficiency in Microsoft Office Suite, Concur, SharePoint, and other business tools
- Strong organizational, planning, and coordination skills in fast-paced environments
- Excellent written and verbal communication abilities
- Ability to work independently with initiative and attention to detail
- Bachelor’s degree highly preferred
