- Take ownership of the manager's email inbox, ensuring timely responses and handling confidential communications with discretion and professionalism.
- Prioritize and manage daily tasks, appointments, and correspondence.
- Organize and maintain schedules, coordinate meetings, and assist in preparing for appointments and conferences.
- Attend meetings, take detailed notes, and follow up on action items to ensure desired outcomes are achieved.
- Manage office logistics, ensuring clean and welcoming office space for clients and visitors.
- Assist in preparing the office for meetings, including arranging furniture, setting up technology, and maintaining a professional environment.
- Decorate office spaces or meeting areas creatively to ensure a positive, comfortable environment.
- Perform office errands, including picking up supplies, deliveries, and other miscellaneous tasks as needed.
- Must have a personal vehicle and be willing to travel overnight when required for work-related tasks or events.
- Demonstrate advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) to support the team effectively.
- Use Microsoft Excel to create and maintain spreadsheets, reports, and other documents as required.
- Prepare presentations and reports using PowerPoint and Word with a keen eye for detail and consistency.
- Handle sensitive information with confidentiality and professionalism.
- Support day-to-day office operations, ensuring smooth workflows and efficient task management.
- Work collaboratively with other staff members and provide support where needed.
- 1-3 years of experience as an Executive Assistant or in a similar administrative support role.
- Expertise in Microsoft Office Suite, including Word, Excel, PowerPoint, and Outlook.
- Excellent written and verbal communication skills.
- Ability to take direction and produce high-quality work autonomously.
- Strong organizational skills and the ability to prioritize tasks effectively.
- Must possess a can-do attitude with a proactive approach to solving problems.
- Ability to handle sensitive and confidential information with discretion.
- Creative flair for decorating and maintaining a professional office space is a plus.
- A valid driver's license and reliable car for errands and travel.
- Willingness to travel overnight as required.
