The Redding Rancheria is seeking a Sharing Fund Intake Coordinator . The preferred schedule for this position is full-time.

The listed wage reflects the entry-level rate for this position. Compensation may be adjusted based on experience, education, and qualifications.

JOB SUMMARY:

Responsible for developing, monitoring, implementing, and evaluating the tribes Sharing Fund assistance program as it relates to food and clothing, transportation, youth activities, and housing. Staff person will be responsible for prioritizing and processing assistance applications, scanning applications into electronic filing system and providing back-up for the LIHEAP, BIA, Burial Assistance, and the NAHASDA Housing Assistance Programs.

REQUIREMENTS/

MINIMUM QUALIFICATIONS:

  • Associates degree or post secondary training preferred.
  • One year of work experience in a position performing clerical functions in an office/service organization setting.
  • Experience in human/social service organization preferred.
  • Advanced level knowledge of Microsoft Office.
  • Must be willing to submit to background check and fingerprinting.
  • Must pass pre-employment drug screening.
  • Indian preference.

ESSENTIAL

JOB DUTIES:

1. Maintain electric and hard copy filing systems for all client files.

2. Ensure program documentation requirements are met for each individual program or grant.

3. Maintain the Excel tracking system to oversee funding allocations for the Sharing Fund Program and the majority of its community services subprograms.

4. Accept and process Sharing Fund applications and deliver services to clients seeking assistance for food and clothing, transportation (bus passes and gas vouchers), Youth Activities (Sports Registration fees, attire for extracurricular activities, etc.), and Housing Assistance.

5. Responsible for working with the finance department to order food and clothing gift cards, transportation gift certificates, and/or bus passes.

6. Responsible to provide back-up documentation and close out gift card and voucher batches in coordination with the finance department.

7. Ensure application registrations and completions are up to date according to program guidelines.

8. Assist in the day-to-day clerical operations including typing of letters, reports, memorandums, and announcements.

9. Understand and communicate program regulations, policies and procedures to staff and clients.

10. Propose changes to client benefit amounts annually or as necessary to maximize the impact of our services and serve the greatest number of families possible.

11. Ensure timely payment to a variety of vendors for youth activities and housing assistance requests; communicate with vendors as required for smooth program operation and maximum client benefit.

12. Assure that funding is spent according to program policies and regulations as well as track client data to assist in reporting of programs as necessary.

13. Responsible for the Community Services Annual Christmas Giveaway, including: online and paper formatted application and flyer distribution, receiving and processing applications, ordering gift cards and distributing them to eligible families in December.

14. Ensure that clients in need of assistance can access applications easily in-person or online.

15. Responsible to work with the tribal information technology department to keep program information up-to-date on the Redding Rancheria website.

16. Provide back-up as needed to the LIHEAP and BIA Intake Coordinator to assist clients with Burial, Emergency and Utility Programs, as well as assist the Community Services Coordinator as needed with the federal NAHASDA Housing Program.

17. Coordinate with Tribal agency departments, to ensure that clients in other service components are aware of and can access the Redding Rancheria’s Sharing fund program, BIA Programs, NAHASDA Housing Program and the LIHEAP Program according to their needs.

18. Promote the program in the Tribes service area through networking, public speaking, media relations, attendance/presentation at community functions.
