The Registrar Coordinator is responsible for maintaining accurate and compliant student records. The Registrar Coordinator oversees all aspects of student enrollment, records management, and admissions communications at Bethel Christian School, including serving as the Designated School Official (DSO) for SEVIS. The Registrar Coordinator works closely with school leadership, teachers, and support staff to determine student placement and support needs while maintaining full compliance with federal regulations for international students.

Hours: This is a part-time position, with an average of 20 scheduled hours per week, during weeks of school operation.

Job Requirements
  • Maintain accurate and complete student records, including cumulative files, transcripts, and enrollment documentation.
  • Maintain and update student data in FACTS SIS.
  • Monitor and maintain accurate, compliant student immunization records that meet California requirements for school entry.
  • Partner with the bookkeeper to ensure alignment between student enrollment status and tuition accounts.
  • File the Annual Immunization Assessment record with the CDPH on time and accurately.
  • Generate and send out report cards, progress reports, and academic records.
  • Monitor and maintain student immunization records in compliance with state requirements.
  • Prepare transcripts and official school records when requested.
  • Generate reports related to enrollment, attendance, and student demographics.
  • Coordinate student scheduling and class rosters as needed.
  • Ensure compliance with student record policies and applicable education regulations.
  • Support attendance tracking and documentation when required.
  • Collaborate with administration and teachers regarding student records and placement.
  • Maintain strict confidentiality of student and family information.
  • Oversee all student enrollment, withdrawal, and transfer processes, maintaining accurate and complete records.
  • Serve as the SEVIS Designated School Official (DSO), issuing and maintaining I‑20s, updating student information in SEVIS, and ensuring compliance with federal regulations for international students.
  • Assist the Director of Finance & Operations with additional record‑keeping, documentation management, and administrative tracking tasks as assigned.
Minimum Qualifications
  • Committed follower of Jesus Christ whose life reflects a personal relationship with Him.
  • High school diploma or equivalent required; associate’s or bachelor’s degree preferred.
  • Minimum of 2 years of administrative experience, preferably in an educational setting.
  • Knowledge of and ability to maintain compliance with SEVIS regulations; eligible for DSO designation.
  • Excellent organizational skills, attention to detail, and accuracy in data management.
  • Strong written and verbal communication skills with a professional, welcoming demeanor.
  • Proficiency with student information systems, database management, and Microsoft Office/Google Workspace.
  • Ability to handle confidential information with discretion and sound judgment.
  • Commitment to upholding the mission, vision, and Statement of Faith of Bethel Christian School.
