Our Administrative Coordinator is the first person vendors, visitors, and plant employees see and work with directly; you will be the face of the company. If you can multitask while working well with others, act as a resource to fellow employees, and encourage teamwork, this role is an opportunity to apply those skills. A driven, results‑focused, detail‑oriented individual will succeed in this all‑encompassing position.
The position environment is 90% office and 10% plant floor.
Provide administrative and technical assistance to the divisional manager. This position reports in office during core hours of 7:30 am – 4:30 pm.
Main Responsibilities- Work with the headquarters division in managing accounts payable functions, verifying invoices, and coordinating timely payments.
- Accurately enter new vendors and keep up‑to‑date payment information.
- Report accurate timesheet records to the staffing agency to ensure timely payroll for temporary employees.
- Track attendance, record sick/vacation time, and work with off‑site payroll coordinator to ensure consistency.
- Coordinate with the logistics and scheduling team to ensure timely product deliveries.
- Cover orders (assist customers by answering questions and processing orders) for time zone differences between Wisconsin and California.
- Assist the Divisional Manager with administrative HR and office duties (e.g., ordering office/plant supplies and maintaining accurate employee files).
- Assist in coordinating employee events (celebrations, lunches, and holiday parties).
- Perform other duties as assigned by the Division Manager or Managers in Green Bay, WI.
- Associate’s degree in human resources preferred; 3–5 years of professional human resources experience considered.
- Bilingual; fluent in Spanish and English.
- Educated in sensitivity awareness with a background in California law required.
- Accounts payable experience preferred.
- Strong organizational skills.
- Highly proficient in computer skills and technology.
- Demonstrated ability to work well as part of a team.
- Self‑starter with the ability to work independently.
